Anderson University is seeking qualified applicants for the position of Administrative Assistant for Athletics Department. The Administrative Assistant for the Anderson University Athletic Department coordinates the support activities for the department.
Responsibilities
Process eligibility reports and other required NCAA forms.
Complete and organize requisitions for purchase orders, checks, EFT transfers, reimbursements, department transfers, and clearing outstanding holds.
End calendar year budgets and maintain accurate records for each sport.
Maintain files of past years budgets.
Process gift monies, and route to the Development office or Cashier.
Organize and keep completed copies of all requisitions for each budget.
Request all duplicated forms from printing services to have in stock for use.
Assist with travel, equipment and uniform requests.
Assist coaches with budget lookup and processing online MasterCard statements in a timely manner. Help coaches understand and use proper budget numbers for expense allocations.
Supervise student employees. Hire, train, schedule and evaluate performance. Maintain records of student workers, managers, athletic trainers and all other student workers that fall under the athletic student budget. Provide the Human Resources and Payroll with the proper student employee forms, including bi-weekly time cards.
Communicate with other athletic staff and faculty to maintain office supplies and order as needed. Maintain a stock of admission material and monitor all major recruiting mailings.
Perform general office functions, process incoming and outgoing mail. Assist office visitors. Answer and retrieve messages on the athletic phone line. Perform minor maintenance and upkeep to department equipment. Help maintain a clean and organized work environment.
Maintain and monitor the online Ad Astra schedule, which includes contests, practices, and on-campus activities for the Kardatzke Wellness Center, OC Lewis Gymnasium, conference and recruiting areas, and classroom spaces within the building.
Plan and organize special department activities.
Letter awards for each team. 1st Year Certificates, 2nd Year Letter Jackets, 3rd Year Plaques, 4th Year Blankets. Work with vendors to maintain supplies. Negotiate prices for awards keeping within budget. Provide certificates from the conference.
When necessary, provide official and school contracts for home events and process payment to the officials. Maintain ticket money for football and basketball games and depositing income to the proper accounts with the cashier. Provide a list of deposits for total athletic ticket sales on an annual basis.
Process all athletic insurance claims and work directly with the athletic training staff, providers and the insurance company to process those claims.
Perform related duties as assigned.
This is a part-time, 74%, at-will position, with limited university benefits
