This position provides administrative support to four Deputy Athletic Directors and maintains several business processes. The responsibilities require good judgement, confidentiality, and attention to detail. This position works collaboratively with all areas of the department and serves as the liaison with many broader University areas.
Bachelor’s degree required.
Five (5) plus years of experience.
Expertise in Microsoft Office – Excel, Word, Outlook, PowerPoint.
Outstanding written and oral communication skills.
Understanding of contract language.
Excellent organizational skills.
Ability to multi-task and meet deadlines.
Outstanding discernment/judgment capabilities.
Assist Sr. Deputy AD/Chief of Staff with Football sport operations. This includes oversight of seasonal charter manifests and guest travel approval, distribution of communications and general information for away games, serve as liaison with the Car Dealers for travel with team(s) and with the Dome Ticket Office for game tickets and parking, and assist with post-season travel to bowl games.
Facilitate contract approval process for the Athletic Department and maintain a detailed log of all contract activity.
Liaison between Athletics Staff and various contract approvers (Compliance, University Counsel, Risk Management, Comptroller, Information Technology Services, Purchasing). Request insurance certificates as necessary.
Ensure all fully executed contracts are retained and organized per departmental and University requirements.
Assist Sr. Deputy AD/Chief of Staff with dedicated administrative support related to Olympic Sport oversight and University-wide Committees, Task Forces, etc.
Assist with review of Athletic Department Conflict of Interest Survey and follow-up communications as required.
Consolidate Trade Agreements and communicate to Disbursements for the annual creation and distribution of 1099s.
Coordinate scheduling of Title IX meetings for the Title IX Office with coaching staffs and teams.
Reserve meeting rooms, ensure proper technology is in the room, schedule IT assistance for the Title IX staff.
Prepare and execute game guarantee agreements for all sports. Maintain a log of all related game dates.
Maintain schedules and coordinate meetings.
Complete credit card reconciliations.
Filing, communications, travel arrangements, etc.
Assist with annual bus and air charter

process. Receive, review and consolidate all bids and serve as the primary liaison with potential charter vendors.
Prepare and submit purchase requisitions and the required backup, in the appropriate timeframe, to the Associate AD/
CFO
.
Provide administrative assistance to other Executive leadership as required.
