The University of California San Diego is seeking qualified applicants for the position of Assistant AD- Events and Operations. UC San Diego, located in La Jolla, in the San Diego Metropolitan area, enrolls over 35,000 students, earned recognition as one of the world’s premier research universities, and is ranked as one of the top-10 public universities in the nation. UC San Diego Athletics has a proud tradition of academic and athletic excellence, sponsors 23 varsity sports, and is entering the third year of transition to NCAA Division I as a member of the Big West Conference.
The Asst AD- Events and Operations will report to the Assoc AD- Facilities & Operations. The position is responsible for planning and ensuring there is appropriate coverage at all games and tournaments. Responsible for supervising and coordinating facilities staff on all details regarding events and event planning for Intercollegiate Athletics. Analyze plans and anticipate challenges. Work closely with personnel including coaching staff, athletics communications, marketing, compliance, and facility managers to ensure that all events are conducted according to campus policies, rules governing the sport, Conference and NCAA rules and regulations.
Participate in campus planning groups including special events management group to help ensure that all on-campus Athletics events are scheduled and coordinated according to university policy and procedures. Under the direction of the Assoc AD, assists with hosting of NCAA and Conference Championship events. Assists with the scheduling of practices for all 23 sports teams, coordinating with the Assoc AD- Facilities & Operations, Sr. Associate AD- External Operations and Recreation Facilities on times for creation of initial practice blocks and event scheduling. Understand budget impact of competition scheduling, including officials and event costs.
The position will collaborate with various campus entities to further opportunities that benefit the department, adhere to operating philosophies consistent with that of UC San Diego, the Triton Athletic Department, the NCAA and all other department partners and applicable organizations. The incumbent will follow the athletic philosophy consistent with that of the UC San Diego Athletic Department and NCAA, and a commitment to diversity in all of its forms. Bachelor's degree in related area and / or equivalent experience.
Thorough knowledge of program activity and best practices. Knowledge of shared facilities in a collegiate setting. Knowledge of NCAA rules and regulations and how they relate to facilities and scheduling.
Problem-solving skills; multi-task, work with frequent interruptions, and effective listener. Ability to prioritize and handle multiple projects and deadlines in a fast-paced environment. Ability to identify and implement methods, procedures, and policies. Ability to use good judgment for problem solving. Ability to work independently to identify and implement methods, procedures, and policies that lead to effectively manage events and facility operations.
Highly effective verbal and written communication skills in the English language. Strong oral and written communication skills to communicate and interact with persons of diverse backgrounds and personalities. Demonstrated ability to convey technical information and provide guidelines in a clear and professional manner, using diplomacy, tact and discretion in all interactions. Demonstrated ability to interact effectively with individuals across the range of academic and professional backgrounds, genders, sexual orientations, ethnicities, cultures and other personal factors, both inside and outside the organization.
Proficiency in the use of basic computer applications relevant to job duties. Demonstrated experience using applications, spreadsheets, databases, networks and software packages specific to the field. Knowledge of facility applications such as ARMS and CMS scheduling.
Ability to establish a strong network of campus contacts to build knowledge about the job and to secure support for program needs. Ability to independently determine and locate sources of information and data.
Demonstrated ability to use good judgment for problem solving; ability to asses data and situations and provide recommendations based on findings; ability to be proactive to avoid potential problems.
Strong organizational skills including ability to prioritize time, plan, and follow projects through to completion. Strong demonstrated ability to prioritize multiple tasks and meet multiple deadlines in a dynamic environment with numerous interruptions and fluctuating priorities. Ability to develop and adjust routines and procedures as needed. Ability to meet established deadlines, with attention to detail and a keen focus on quality.
Demonstrated ability to train, motivate, and evaluate student employees; to delegate tasks; to schedule sufficient staffing for simultaneous athletic events based on knowledge of all schedules and the needs for sporting events.
Demonstrated ability to follow the athletic philosophy consistent with that of the UC San Diego Athletic Department and NCAA, and a commitment to diversity in all of its forms.
Must maintain current knowledge of applicable rules and standards of the affiliated athletic conference and the National Collegiate Athletic Association (NCAA), as well as other associations and agencies to which the campus adheres, and, at all times avoid any and all violations of these rules and standards. Understanding and adherence to all Big West Conference and NCAA rules and regulations.
Work schedule will include evenings, weekends, and holidays.
Must be able to travel to out-of-town meetings and athletic competitions.
Valid Driver's License required. May participate in the DMV Pull program and maintain a clean DMV record.

Pay Transparency Act
Annual Full Pay Range: $37,900 - $85,300 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $18.15 - $40.85
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
