SUMMARY OF RESPONSIBILITIES

The Assistant Athletic Director at Schreiner University provides leadership and operational support to advance the University’s mission of student-centered education through intercollegiate athletics. This position plays a key role in athlete academic success, game day operations, athlete documentation and eligibility processes, and the professional development of coaching staff. The Assistant Athletic Director works collaboratively with campus partners to ensure a high-quality, value-driven student-athlete experience.

ESSENTIAL FUNCTIONS

Administration and Leadership

• Assist the Director of Athletics with department planning, assessment, and day-to day operations.
• Provide supervision of assigned staff, graduate assistants, or interns.
• Represent Schreiner University Athletics at campus meetings, conference functions, and professional events as assigned.
• Support additional athletic department initiatives, including compliance education, community engagement, and strategic projects.

This position plays a key role in athlete academic success, game day operations, athlete documentation and eligibility processes, and the professional development of coaching staff. The Assistant Athletic Director works collaboratively with campus partners to ensure a high-quality, value-driven student-athlete experience.

ESSENTIAL FUNCTIONS

Administration and Leadership

• Assist the Director of Athletics with department planning, assessment, and day-to day operations.
• Provide supervision of assigned staff, graduate assistants, or interns.
• Represent Schreiner University Athletics at campus meetings, conference functions, and professional events as assigned.
• Support additional athletic department initiatives, including compliance education, community engagement, and strategic projects.

Student Athlete Academic Support

• Coordinate and oversee academic support services for student-athletes, including monitoring academic progress, eligibility status, and persistence toward degree completion.
• Serve as a liaison between the Department of Athletics and Academic Affairs, faculty, advising, and student success offices.
• Track midterm and end-of-term academic reports and communicate concerns or progress updates to coaches and administrators.
• Assist in the development and implementation of academic success plans for at risk student-athletes.
• Promote a culture of academic responsibility and integrity consistent with Schreiner University’s mission.

Game Day Operations

• Plan, coordinate, and oversee game day operations, including facilities setup, staffing, scheduling, and event execution.
• Manage logistics for home contests such as officials, athletic training coordination, game management staff, and visiting team needs.
• Ensure compliance with institutional, conference, and NCAA game management standards.
• Collaborate with campus departments (facilities, campus safety, communications, and admissions) to ensure safe and well-run athletic events.
• Assist with championship or postseason event hosting as assigned.

Athlete Documentation and Records Management

• Maintain accurate and confidential student-athlete documentation, including eligibility records, participation forms, and required institutional and association paperwork.
• Assist with onboarding processes for new student-athletes, including orientation, compliance education, and documentation completion.
• Support eligibility certification processes in coordination with the athletics compliance function.
• Ensure timely and accurate reporting related to rosters, participation, and student athlete status.
• Uphold FERPA and institutional data privacy standards.

Coaching Staff Professional Development

• Coordinate professional development opportunities for coaching staff, including workshops, training sessions, and leadership development initiatives.
•  Support onboarding and ongoing education for coaches related to institutional policies, student development, and best practices in collegiate athletics.
•  Assist the Director of Athletics with performance evaluation processes and goal setting for coaching staff.
• Promote a culture of continuous improvement, ethical leadership, and student athlete well-being among coaches.
• Serve as a resource for coaches on academic expectations, student support services, and institutional processes.

Additionally

• Develop a culture of excellence where successful student-athletes will thrive and be engaged in the growth of the Schreiner Athletics and themselves.
• Know and abide by the rules and policies of Schreiner University, ASC and NCAA.
• Work with Coaches to manage all aspects of home contests, including coordination of facilities and officials.
• Promote an atmosphere of academic excellence for student-athletes.
• Participate in conference meetings.
• Work with coaches to provide competition results and statistics to the SU Sports Information Coordinator.
• Develop a positive relationship with and play an active role in university and community events and programs.
• Work collaboratively with Student Affairs and Residence Life staff with respect to student needs and any issues related to student behavior.
• Collaborate with Athletic Director in establishing a fundraising plan that meets the department’s annual fundraising goals and aligns with the University’s overall fundraising strategy.
• Be responsible for processing business-related paperwork, such as requisitions for purchase orders, travel forms, credit card purchases and receipts, travel advances, reimbursements and other business forms.
• In coordination with auxiliary services and coaches, promote and manage a summer camp program that helps to achieve the fundraising goals of the
  department.
• Other duties as assigned from time to time by the Athletic Director and/or Vice President for Student Affairs and Dean of Students.
• Assist with secondary responsibilities in Athletics to support the operations of the Athletic Program and the broader University, as determined by institutional priorities and aligned with professional expertise.

Maintain University Safety – To ensure that all filing cabinet drawers are shut when not in use, cords are not across floor without being securely fastened down, all walkways remain clear in the office and hallway with no items hanging off edges or coming out from under tables, and chairs are placed in unobtrusive areas.

Communications – Acts to facilitate good communications between employees, students, parents and management through interpersonal and professional
communication techniques.

Confidentiality – Maintains the highest level of confidence concerning all matters in the Athletic Department. Does not discuss in any manner any information obtained through work.

EDUCATION, EXPERIENCE AND SKILLS REQUIRED

• Bachelor’s degree from an accredited institution.
• Prior experience in collegiate athletics administration, coaching, or student-athlete support.
• Knowledge of intercollegiate athletics operations and student-athlete development.
• Strong organizational, communication, and interpersonal skills.
• Ability to work evenings, weekends, and travel as required by athletic schedules.
• Proficiency in scheduling games, practice and travel.
• Proficiency in preparation and management of budgets.
• Ability to relate to student-athletes
• Ability to communicate effectively and work as a university team member.
• Ability to become certified in CPR, First Aid and AED (automatic external defibrillator) Updated annually.
• Knows and abides by policies of Schreiner University, ASC, and NCAA..
• Must have a valid Texas driver’s license, related insurance, and good driving record.
• Obtaining a CDL Driver’s License if possible is expected.

Preferred Qualifications

• Master’s degree in sports administration, higher education, or a related field.
• Experience with academic support programs or student development initiatives.
• Familiarity with NCAA rules, eligibility processes, and game management standards.
• Demonstrated commitment to diversity, equity, inclusion, and student success.

WORKING CONDITIONS

• Maintain regular office hours.
• Weekend and holiday work schedule when necessary.
• Occasional overtime work required during season and post season play/recruiting/meetings
• 90% walking or standing during season and practice
