PRIMARY FUNCTION: The Assistant Athletic Director for Compliance is responsible for the overall development, implementation and review of the athletics department’s compliance program. As such, the Assistant Athletic Director for Compliance directs and monitors all NCAA and conference compliance issues associated with the administration of the university's athletics programs. The Assistant Athletic Director for Compliance will develop a comprehensive rules education program for the athletics staff and will provide rules education to student-athletes and to staff outside athletics with compliance responsibilities.
QUALIFICAITONS: A bachelor's degree is required, a master's degree in sports management, athletic administration, business administration, or a related field is preferred. In addition, previous experience in athletic compliance is required preferably at the NCAA Division II level. Relevant experience in collegiate athletics, such as coaching, administration, or a related field, is also beneficial. Finally, In-depth knowledge and understanding of NCAA rules and regulations is crucial. This includes staying up-to-date on any changes or updates to NCAA rules and ensuring that the athletic department remains in compliance.
RESPONSIBILITIES:
Understands and agrees to abide by the mission of the University and the University’s athletics program.
Is knowledgeable about and adheres to all institutional, conference and NCAA bylaws and regulations.
Serves on the Athletics leadership team.
Advise and provide rules education to student-athletes on NCAA rules and requirements.
Develops and maintains effective operating procedures and administrative systems to ensure institutional compliance with NCAA and University regulations.
Attends all NCAA meetings related to compliance and rules education.
Work with the NCAA’s Eligibility Center to ascertain initial eligibility and amateur status.
Collect data from various departments and sources to coordinate and submit various conference and NCAA reports.
Fields telephone calls from student-athletes, various departments and parents involving compliance.
Verifies all camps and clinic brochures, advertisement and employment of prospective student-athletes, awards and attendance restrictions.
Provides rules education trainings/seminars to all Department of Athletics Staff for NCAA transition process.
Provides rules education training/seminars to relevant departments (Office of Financial Aid and Scholarships, Registrar, etc.) to ensure NCAA Compliance.
Oversees Tryout Paperwork Clearance in conjunction with Head Athletic Trainer.
Administers the student-athlete guidelines, and the NCAA Drug-Testing Consent and other NCAA required forms to all student-athletes.
Collects, reviews and evaluates information related to coaches’ recruiting of athletes to ensure compliance with rules.
Researches and investigates any reported or suspected instances of rules violations. Recommends and administers appropriate penalties.
Attends practices, home and away games and conference championships as appropriate to represent the department.
Develops policies and procedures to comply with NCAA and Conference rules and regulations.
Updates the department Operations and Compliance Manual and Student-Athlete Handbook on an annual basis.
Reviews coaches’ declaration of playing, practice seasons and schedules of contests.
Coordinates preparation and maintenance of the NCAA Financial Aid Form Summary in conjunction with the Financial Aid Office.
Represents the university at conference meetings concerning institutional compliance.
Monitors student-athlete financial aid, eligibility, and other conference reports. Ensures athletic scholarships and financial aid is awarded properly and within the rules of the applicable conference and National Office affiliation.
Works with the Office of the Registrar on initial and continuing eligibility certification for student-athletes.
Monitors student-athlete amateurism.
Reviews off-campus contact and evaluation requests.
Reviews academic transcripts and test scores to approve official visit requests.
Monitors permissible recruiting materials in accordance with NCAA bylaws.
Secures the release for potential transfer students and facilitates the release of student-athletes seeking to transfer, in consultation with the head coach and director of athletics.
Reviews, audits and files countable athletically related activity logs.
Maintains participation records and determines seasons of competition utilized by student-athletes.
Coordinates the release of Athletic Scholarship Agreement signees with the assistant athletic director of communications and game management, the Financial Aid Office and the Office of Undergraduate Admissions.
Coordinates all NCAA appeals.
Monitors employment of student-athletes according to NCAA bylaws.
Monitors compliance with NCAA bylaws regarding complimentary admissions to athletic events.
Ensures all necessary information is updated in Compliance Assistant software.
Provides compliance software training to appropriate institutional personnel.
Conducts an audit of compliance systems in conjunction with the Compliance Committee.
Oversees all game contracts to ensure NCAA compliance.
