Assistant Athletic Director and Head Coach for Women’s Basketball
Full-Time, 12-Month Position
Cairn University’s Department of Athletics is seeking to fill the full-time position of Assistant Athletic Director and Head Coach for Women’s Basketball. Cairn University is a NCAA Division III school and participates in the United East Conference. The incumbent will be eligible for full-time employee benefits, such as paid time off (PTO), health, dental, vision, and life insurance.
Department Purpose
The purpose of the Department of Athletics at Cairn University is to provide NCAA division III sports which allow our student athletes to honor God by growing through integrity, humility, and discipline in pursuit of athletic excellence. Cairn’s teams are built in a competitive environment and led by coaches who desire that their team learns to exemplify the walk and life of the Christian faith and recognize that sports provide a tremendous training for life and service. Cairn seeks to develop student athletes that are willing to stand for Christ, serve with humility, lead with dignity, pursue knowledge and excellence while being able to handle adversity.
Cairn is part of the National Collegiate Athletic Association (NCAA) and is an associate member of the National Christian College Athletic Association (NCCAA).
All Department of Athletics personnel have ministerial responsibilities to integrate spiritual development into their leadership, coaching, and support for student athletes. For coaches and staff, this takes the form of prayer, Bible study, and encouragement of students’ spiritual discipline alongside the physical and mental discipline which characterizes an athletics program.
Position Description
The Assistant Athletic Director performs a variety of duties that provide support to the Director of Athletics, and various intercollegiate varsity sports. Responsibilities can include:
Schedule and oversee game-day preparations, set-up of tables, clocks, nets, extension cords and other equipment or supplies.
Oversee proper storage of off-season supplies and equipment.
Organize and send game contracts (home and away).
Assess suitability of supplies and equipment and oversee or recommend repair or replacement as needed.
Organize athletics banquets, including coordination with food services, campus services and media services. Develop program and schedule speakers, awards, etc.
Coordinate purchasing for department and team supplies, including: obtaining quotes from various vendors; tracking vendors' reliability, pricing and quality; coordinating payment or reimbursement with Business Services; and ensuring purchases are within budgetary guidelines.
Coordinate team travel arrangements, including: arranging for van rentals; ordering box lunches or dinners from food services; making provisions for on-the-road meal and other purchases; retrieving and logging receipts and processing expense reimbursement requests; and making hotel reservations as needed.
Coordinate athletic van/bus rentals to all Cairn teams and other Cairn departments.
Oversee Student Worker employees including: completion of required employment paperwork; gathering and approving timesheets and submitting them to Business Services; arranging for proper staffing for all athletic and championship events; and behind the scenes work (i.e., laundry).
Manage indoor home game events, including arranging for proper student worker staffing and organizing halftime contests for sports.
Manage the distribution of uniforms at the beginning of each season and collection at the end of each season. Ensure proper uniform inventory and storage.
Function as tournament director of host tournaments (playoffs, and regular season and national tournaments).
Order office supplies.
Perform other duties as assigned by the Director of Athletics.
The Head Coach for Women’s Basketball performs responsibilities and oversight for all aspects of the program to include:
Recruiting and Retention
Represent the Athletics Department at Admissions Open Houses and/or involvement in other pertinent recruiting events such as prospective athlete scheduled visits and overnight stays.
Communicate effectively with Admissions and Recruitment personnel in tracking student athletes throughout the enrollment process.
Scout and recruit prospective student athletes.
Maintain a full roster.
Support and retain student-athletes in the program.
Coaching
Meet regularly with the Athletics Department for meetings and training sessions.
Adhere to regulations as set forth in the Athletic Department handbook, University policies, league, and Title IX requirements.
Assist in the process of certifying and maintaining athlete eligibility.
Attend Athletic Conference coaching calls and complete nominations and voting in a timely manner.
Cooperate in the enforcement of facility rules, regulations, and clean-up.
Demonstrate deep knowledge and understanding of the sport.
Focus on teaching individual skill development and technique throughout the season.
Plan, organize and design effective practices to improve athletes’ individual skill and knowledge of the game. Demonstrate up-to-date knowledge of appropriate techniques, training, conditioning, and skill necessary to perform in the sport.
Design and implement off-season training program.
Focus on teaching and developing game strategy.
Attend and direct the varsity team in all intercollegiate practices and contests.
Provide positive feedback and constructive criticism to athletes to improve individual performance.
Mentoring
Create a Christ-centered team community by focusing on athletes’ spiritual growth and maturity.
Promote the ideals of Christian sportsmanship in all phases of conducting an intercollegiate athletic program reflective of a Biblical University.
Establish appropriate and effective mentoring relationships with student athletes.
Leadership
Evaluate, select, and supervise assistant/volunteer coach(es) who are part of the program.
Assist the Director of Athletics in evaluating programs, personnel, and facilities.
Take necessary steps to guard against activities and behavior that could be viewed as hazing, unethical, or discriminatory.
Demonstrate professionalism through good communication, organization, and personal conduct.
Consult with the Director of Athletics regarding student athlete disciplinary issues and assist with implementation of sanctions commensurate with respective violations and in accordance with established guidelines and regulations.
Organization
Coordinate practice and game schedules, travel plans, and uniform inventory. Examples include: Collection of receipts; vehicle return; orders for bag meals; equipment return.
Manage and control financial responsibilities of your sport in accordance with institutional and departmental policies. Examples include: adhere to specific food budget; properly submit receipts; obtain approval for equipment purchase.
Cooperate with the Athletic Trainer in managing athlete’s health and preparation for practice and competition.
Communicate effectively with the Sports Information Director about roster, schedule, statistics, special interest stories, award nominations, and website interests or concerns.
Inventory athletic equipment and identify needs at the start and end of every season.
Other
Support Athletic Department fund-raising projects.
Participate in University meetings as requested.
Perform other departmental duties as assigned.
Minimum Qualifications
Master’s degree preferred; Bachelor's degree from an accredited college or university required
Valid Driver’s License
Minimum of 2-5 years of basketball coaching experience; Head or Assistant coaching experience at collegiate level preferred
Demonstrated knowledge of NCAA rules, the UE Conference, and a commitment to the academic development of student-athletes required.
