Assistant Athletics Director for Business Affairs

Position Overview

Position Summary

Under limited direction of the Director of Athletics, the Assistant Athletics Director for Business Affairs is responsible for the management and coordination of all business administration activities in the department of athletics. This position is the primary point of contact with the ENMU Business Affairs Offices related to processing all financial matters conducted by the Athletics Department.

Requirements

Duties and Responsibilities:

• Coordinate all athletic department finances, including working with the Director of Athletics (AD) and Deputy Director of Athletics (DDA) to set yearly budgets, working with coaches to manage team budgets and expenditures, and reconciliation of all athletic accounts
• Work directly with ENMU Business Affairs (in conjunction with the peer manager in the business office assigned to Athletics) to prepare and present monthly expenditure and revenue reports for the Director of Athletics and the Vice President for Administration and Finance/System Chief Financial Officer.
• Manage NCAA, EADA, and LSC financial reporting and oversee all financial audits related to NCAA reports.
• Ensure proper processing of all procurement, travel, inventories, accounts payable and receivable, billing, contracts, revenue reconciliations, camps, and other auxiliary revenues and expenses
• Monitor operational and agency accounts, including but not limited to new sponsorship revenue and other discretionary account activities, providing regular updates to the Director of Athletics, Deputy Director of Athletics, Head Coaches, business affairs athletic accounts manager, and area managers within athletics
• Assist with compliance efforts related to NCAA documentation and monitoring.
• Collaborate with the ENMU Business Affairs office to ensure financial processes are aligned with university policies

• Analyze expenditure history/trends to project future expenses for the establishment of a comprehensive athletics department budget
• Provide ongoing training to athletics department staff on university business and personnel functions in accordance with ENMU policies and procedures
• Support corporate partnership efforts, including recording and documentation, invoicing, and coordinating with the Business Affairs office, including the documenting of use of trade inventory from sponsorship agreements
• Regular and predictable attendance required
• Perform additional duties as assigned by the Director of Athletics

Minimum Job Requirements: Bachelor’s Degree and three years of related experience or an equivalent combination of education and experience

Knowledge, Skills, and Abilities:

• Understanding of NCAA rules and regulations regarding financial reporting, scholarships, and compliance.
• Knowledge of general business operations, including budgeting, travel management, accounts payable/receivable, and financial reconciliation in an educational setting.
• Strong written and verbal communication skills to effectively interact with coaches, staff, external organizations, and regulatory bodies.
• Exceptional organizational abilities to manage multiple tasks, deadlines, and projects.
• High level of attention to detail, particularly in managing financial reports, budgets, and documentation.
• Skill in providing training or guidance to staff on financial procedures, university policies, or compliance matters.
• Skills in providing high-level support to coaches, staff, and external stakeholders.
• Ability to work with minimal supervision, while maintaining communication with the Director of Athletics, Deputy Director of Athletics, and other stakeholders.
• Ability to stay informed and adapt to changes in NCAA regulations, university policies, and business practices.
• Ability to work collaboratively with various teams, including coaches, compliance officers, business staff, and external organizations.

Working Conditions

Physical Demand and Working Conditions:

• Work is generally performed during normal work hours and will require some evening or weekend hours.
• Work is mainly sedentary in nature but will require periods of standing and movement.
• May require exerting up to 10 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
