General Description** :**

Reporting to the Associate Athletics Director for Executive Operations, this position will manage the key initiatives identified by the Vice Chancellor/Director of Athletics (AD) and the Deputy ADs (Deputies). This individual will frequently serve as a representative for these groups to UTAD staff, UTAD coaches, UTAD student-athletes, campus partners and external constituents.

Duties and Responsibilities:

• Ensures efficient and accurate delivery on key initiatives identified by the AD and the Deputies. These project topics will span the entire department and include, but are not limited to, SEC and industry benchmarking, fan engagement, compliance, corporate partnerships, development, business office, department culture, etc.
• Aids in strategic plan initiatives and helps coordinate and tracks progress of those initiatives.
• Aids Deputies in project management over key initiatives and assists them in tracking and managing budgets for those areas.
• Coordinates and executes logistics for events hosted by the AD’s office for student-athletes, internal staff and external groups.
• Main administrative contact for post-season or large group travel which includes, but is not limited to, securing, organizing and communicating plans regarding travel, lodging, transportation, parking, credentials, game tickets, etc. for all staff members that are not a part of the team travel party.
• Manages and provides game day information for external guests of AD’s office (Tickets, Parking Passes, Policy, etc).
• Serves as AD hospitality suite operations director during home and some away sporting events.
• Oversight of the Tennessee Fellows program. This includes, but is not limited to, maintaining the recruitment, on-boarding, and curriculum for 4 participants annually. This role will coordinate with other departments and oversee the responsible use of budget to maximize the success of the fellows.
• Will manage, supervise, and hire the administrative assistant positions, which will include up to 4 individuals. Effective management of these roles will be essential in ensuring UTAD runs efficiently.
• Helps Deputies in travel arrangements and aids in creating effective plans that accomplish the goals and meet university travel requirements.
• Creates and distributes email, correspondence memos and letters on behalf of the AD’s Office.
• Serves as representative and liaison by attending meetings and other events with or on behalf of AD Office members and assist with follow-up and logistics of these events.
• Other duties as assigned.

Qualifications

Required Qualifications:

Education:

Bachelor’s Degree is required; Master’s Degree is preferred.

Experience:

Minimum three years of experience in executive operations, or equivalent field, in a professional office environment (graduate school experience will be accepted) is required.

Experience in executive operations in a college athletics setting at the NCAA DI/FBS level, or other relevant experience (preferred).

Extensive experience interacting and working with high-level executives and constituents (preferred).
