The Athletics Department is seeking an Assistant Director- Facilities & Event Operations. This is a full-time (1.00
FTE
), 12-month, professional faculty position.
The mission of the
OSU
Department of Athletics is to provide opportunity to young people and develop leaders through a tradition of academic and athletic achievement in a progressive, inclusive environment of mutual respect.
Reporting to the Assistant Athletic Director for Facilities & Event Operations, the position will be the lead manager for assigned home athletic contests. The Assistant Director of Facilities and Event Operations must be able to lead multiple groups including internal athletic department teams, outside vendors, and partners to provide clear planning and communication to all services providers as appropriate for each event. This could include acting as a liaison with police, risk management, other on campus agencies, Oregon Liquor Control, and outside guest services providers. This position will communicate with appropriate staff and coaches to ensure fair and reasonable access to facilities for practices, games, and camps. Will provide information to outside users (competitors, renters, and other business entities). Will inform and provide input regarding protocols around facility use, safety and emergency procedures, and advise on efficiencies and innovation where observed. This position will also serve as the main contact for programs and department units as it relates to facility needs (maintenance items, small to medium projects and any other needs) as it relates to the day-to-day work flow assigned facilities. They will then coordinate with the correct members of the Facilities and Operations Unit to successfully address any facility issues. This position will serve in a leadership and supervisory role to student workers in the Facilities and Operations unit.
This position will also be responsible for planning, organizing, coordinating, and executing assigned activities to maintain all
OSU
Athletics facilities. The Assistant Director assigns and supervises work of students and classified staff, while also participating in maintenance and repair activities to meet the needs of users and events occurring in Athletic Department facilities. This position will manage assigned contracts and outside contractors that perform work in athletic facilities.

EVENT
MANAGEMENT
General event management responsibilities as assigned by Assistant Athletic Director for Facilities and Operations for sporting events and for other on campus events.
Establishes Guest Services schedule and number of staff required for events and invoices University departments.
Assigns duties to University maintenance staff.
Receives all post event debriefing, patron complaints and incident reports, and follows up as needed.
For sporting events, reviews field and court markings for compliance with
NCAA
regulations, ensures proper safety and crowd control measures are in place, and ensures
ADA
compliance for disabled patrons.
Works with
PAC
-12 Conference to oversee operations of hosting and scheduling of officials for sporting events.
Plan, implement and coordinate all aspects of athletic special events.
Maintains knowledge of departmental activities, sport schedules and procedures.
Serve as the athletic department’s main contact for all university sponsored events in Reser Stadium, Gill Coliseum and other athletic facilities including, but not limited to, Commencements, graduation, Rec/IM sports, and assigned athletic contests.
Assist with managing venue spaces through our scheduling software (Mazevo) and respond to inquiries.
Assist with creating event related documents including: estimates, room diagrams, vendor notes.
Optimize feedback surveys and post event reviews allowing us to routinely follow up events and retain clients.
Must possess and maintain a current, valid driver’s license and maintain a satisfactory driving record in order to drive a vehicle as an essential function of the position.

MAINTENANCE
Assists with the scheduling of regular maintenance protocols for assigned venues.
Provides regular and systematic venue evaluations to the Assistant Athletic Director.
Identifies health and safety concerns and addresses minor issues independently.
Works with vendors and members of the Facilities and Operations Unit to schedule work to be completed.

LEADERSHIP
Provides supervision and leadership for student employees.
Plans, assigns, and approves work and engages in disciplinary actions as appropriate.
Responds to grievances and effectively recommends personnel hiring and firing.
Schedules assigned employees to daily tasks and event operations shifts.

BUDGET
OVERSIGHT
Assists in budget development as well as oversight of assigned sports day to day activities for the facilities and event budgets.
Monitors time sheets of student employees.
Makes cost estimates, prepares progress reports, and provides recommendations for capital budget projects and strategic planning.
Bachelor’s degree from accredited college or university, preferably in Sport Administration, Business, Hospitality, or related field. Degree needs to be completed by date of hire.
Two (2) years of experience working within collegiate professional sports or arena/stadium operations.
Effective communication skills, both written and spoken form.
Ability to work with staff and students from a variety of diverse backgrounds.

This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
Bachelor’s degree or higher in Sports Administration, Sport Management, or related field.

Experience and ability to integrate contracts into overall maintenance and repair contracts

This position requires evening and weekend work around events and facility projects. It may require infrequent, sporadic travel. This position would have access to secure areas. Would require light lifting and working outdoors for assigned events.
