ASSISTANT DIRECTOR / FINANCIAL AID
This position is essential to the university with its valuable work behind the administration, awarding and disbursing of Title IV federal financial aid for special degree program students as well as the oversight of all athletic aid awarding and compliance (grants and scholarships). This position works closely with special degree programs (for example, the physician assistant program) that begin a cohort of students together and follow the same curriculum. Their outline of credit load requires special budgeting and packaging to ensure compliance with federal aid. In addition, special fees for licensures and certifications must be manually added to the correct program in their correct year of study; each area is a manual review that must be performed throughout the year. This position serves as the point of contact for all special degree program departments for presentations and for the students on any questions regarding their aid eligibility. This position also works with the athletics compliance officers to ensure athletic aid is awarded accurately, adds it manually throughout the year, and monitors athletic compliance as it relates to Title IV regulations.
Bachelor’s degree.
One year experience in financial aid counseling or two years of relevant experience in higher education student services related function(s).
Ability to work in a team-based environment and maintain positive interpersonal relations with students, staff, faculty visitors and work associates.
Demonstrated positive communication and public speaking skills.
Ability to project a positive image and work independently.
Knowledge of higher education policies and procedures applicable to the Office of Scholarships and Financial Aid or the demonstrated ability to learn such policies and procedures.
Excellent analytical skills.
Ability to perform the essential functions of the job.
Ability to use technological systems appropriate for this position and functions.
Must demonstrate strong organizational skills and attention to detail.
Must have the ability to work in a self-directed team environment.
Possession of working knowledge of higher education policies and procedures as they apply to the Office of Scholarships and Financial Aid.
Strong knowledge of Title IV financial aid regulations and processes.
Knowledge of athletic aid compliance.
Knowledge of and experience in MS Office Suite.
Familiarity with Regent Education Software.
Ability to organize and direct the work activities of others.
Works with special programs across campus to appropriately budget and award students according to Title IV regulations.
Collaborates with athletics on the awarding and compliance of athletic aid.
Serves as a point of contact for athletes and special degree program students.
Serves on the athletic scholarship appeal committee.
Monitors the curriculum as it relates to the budgeting and awarding of special degree programs.
Monitors the ever-changing regulations as it relates to athletic aid compliance (for example, ensure name, image, and likeness income is reported on the
FAFSA
, etc.).
Documents and updates policy and procedure as it relates to the position.
Ensures all endowed and annual scholarships are transparently available to students.
Collects and/or analyzes financial data on students to determine aid eligibility and make awards within federal, state, donor and/or institutional guidelines.
Evaluates documentation for unusual/mitigating circumstances as provided by the student; exercises judgment by making adjustments or revisions to costs, family contribution, demonstrated need or dependency status as exceptions to the prescribed process.
Answers questions, inquiries or requests from students, parents, or guardians in person, on the phone, virtually or in writing regarding financial aid programs and eligibility.
Assists in the preparation of and presents information regarding federal financial aid, scholarships, employment and grants for various campus groups, high school students and parents at meetings, group discussions, workshops and recruitment sessions.
Maintains integrity and appropriate confidentiality in departmental and program operations.
Participates in conferences, seminars and professional meetings.
Interfaces with students, campus departments and external agencies to resolve issues that arise.
Assists with other financial aid activities such as outreach, reporting and monitoring.
Performs other duties as assigned.
