Position Overview
| Primary Purpose of Position |
This position plays a vital role in supporting the AAF and Athletic Department by managing donor relations, acknowledgment processes, and coordinating athletic communications and events. The responsibilities extend to facilitating fundraising activities, handling administrative tasks, and managing communication with planned gift and foundation donors. The employee is tasked with responding to inquiries on general and program issues, processing and maintaining gift and donor data, and overseeing the University’s “donor estates in process” for planned gifts. Direct engagement with donors, prospective donors, university staff, and acting as a primary point. Exceptional writing and communication skills are essential for success in this role.

Key Responsibilities and Related Competencies

- Organize and manage donor relations for the Aggie Athletic Foundation (AAF)
- Create and manage a plan for comprehensive donor relations for the AAF including the organization, planning, and execution of all stewardship and donor recognition events
- Manage and support the integration of AAF activities with existing athletic events and competitions within the Intercollegiate setting
- Manage the AAF’s acknowledgment process
- Provide information to donors related to their giving
- Collaborate with the Office of Advancement Services to maintain accurate records for all donors
- Partner with the Athletics Sports Information Director and Director of Athletics Marketing to discuss and coordinate all athletic communications, events, and content creation
- Partner with University Advancement, specifically the Office of Annual Giving and Donor Relations, to coordinate all communications, report building, and stewardship efforts.

- Contribute to the creation and implementation of the AAF’s fundraising strategies, including direct mail, student calling, social media, and e-mail solicitations
- Interacts with donors and prospective donors to cultivate and increase support

- Engage in direct communications with donors, prospective donors, University staff and students, and the public in-person, via telephone or electronically, and serve as a primary point-of-contact for the Office of Planned Giving and the Office of Foundation Relations.
- Organize and maintain data and documents in paper and electronic filing systems.
- Track and document travel plans and expenses for respective development officers.
- Serve as primary point of contact for employees, incoming calls and visitors. Perform list pulls, mail merges, run regular and ad hoc reports from the database.

- Using proven fundraising methodologies, this person will develop solicitations for AAF Giving Days, giving challenges, and themed events
- Identify and solicit new donors while maintaining regular contact through meetings, phone, and email.
- Provide support to assist constituent groups with reaching fundraising goals

- The Assistant Director will work with vendors to develop and prepare all constituent giving solicitation materials, brochures, and correspondence utilizing creative concepts for the new, reconnected and young alumni population
- The Assistant Director will execute various administrative functions such as preparing and monitoring the budget and providing statistical reports and campaign progress on annual giving
