The primary responsibilities of the Assistant Director of Ticket Operations is to support the Husky Ticket Office with overseeing Women’s Basketball, Volleyball, and Soccer. Customer relations include interfacing with all categories of ticket purchasers including donors, public, faculty/staff, alumni, students, visitors as well as various departments within the University.
This position reports to the Director of Ticket Operations.
Responsibilities –
Serve as acting director for Women’s Basketball, Volleyball and Soccer ticketing and supervise the season ticket renewal process. In coordination with the Tyee staff, assist with the seat allocation process for donors. Set-up includes building and managing on-sales for seasons, partial plans, groups and single games. Coordinate season ticket payments including follow up communication and reminders for unpaid accounts.
Responsible for managing any NCAA or Conference hosted events and travel, when necessary, to manage post season tournament(s) ticket needs.
Serve as primary contact for these sports with ticket office staff, ICA, and all external constituencies.
Communicate all relevant ticket information and instructions to ticket office staff, Tyee staff, Marketing, and other ICA staff when applicable.
Manage the ticket office sales and customer service windows at events in accordance with Husky Ticket Office, NCAA and UW policies. Oversee approximately 400 labor hours of staffing for events; completion of accurate time sheets with signatures per audit requirements. Handle any elevated customer service related issues and inquiries.
Maintain appropriate data and documentation annually for assigned sports. Prepare and balance individual game reports including student attendance after each home event. Prepare year-end attendance and revenue reports. Serve as Business Office liaison for each sport.
Serve as visiting team contact for all ticket needs. Prepare and distribute invoices to visiting teams. Responsible for managing any NCAA or Conference hosted events. Travel with team when necessary to manage post season tournament(s) ticket needs.
Ticket Processing –
Assist with inventorying all stock received, including parking passes, from the ticket printing company as well as opponent schools. Ensure accuracy of count and maintain accurate running inventory of all ticket stock. Prepare ticket stock and financial records for annual shredding needs.
Responsible to work with each sport’s ticket managers to ensure accurate formatting for season and single game ticket printing. Ensure mobile and in-house ticket printing and mailing is completed in a timely and efficient manner.
Football Responsibilities –
Assist in game day preparations as needed. Act as support manager at every home game. Supervise customer service representatives and perform other box office duties as assigned by Director of Ticket Services.
Database Management –
Ensure proper database entry by all staff by regularly cleansing database through account updates, edits and merges.
Manage UW Faculty-Staff verification process and communication. Includes working with UW payroll office to conduct regular audit of eligibility.
Manage season ticket account Priority Transfers in conjunction with Tyee office, ensuring that all years of purchase and priority points are properly documented and maintained.
Customer Service –
Answer multiple ticket office phone lines, serving customers at ticket windows, and answering general emails as needed. Maintain and promote positive relations with customers, the public, UW faculty, staff and students.
Staff Management –
Regularly train part time staff on ticket office processes, policies, and customer service techniques. Assist with on-boarding new staff as needed. Coordinate box office service windows and supervise part time staff on football game days and other events as assigned.
Other Duties –
Support full time ticket office staff with fulfilling ticket office daily procedures, game day management, customer mailings, monitoring website ticket pages, and other miscellaneous needs. Supervise closing procedures for ticket office when called upon. Track office supply inventory and request as needed.
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
Minimum Requirements –
High school graduation or equivalent and two years of related experience or equivalent education/experience. Minimum of two years’ experience working in a college athletics or professional sports ticket operations role. Two years of database management in a ticket system; Paciolan preferred. Experience working in a box office setting.
Demonstrated success working in a fast paced environment and the ability to multitask. Candidates should be computer proficient, detail oriented, and enthusiastic about working within a sport-related environment. Proven ability to work independently and maintain composure under pressure. Display a genuine desire to help people and customer-focused attitude. Ability to work well within a team environment. Excellent communication and listening skills. Ability to promote and maintain positive relations with donors, faculty, students, and the general public.
Must be able to work non-traditional hours; at games and special events which includes weekends and evenings.
Desired –
Bachelor’s Degree in a business or sports management field preferred.
