Purpose of Position
Provide administrative assistance to the Director of Athletics on a daily basis.
Primary Responsibilities
Serve as the primary contact and liaison between the Director of Athletics, other executive offices, divisional staff, university offices, league office staff, and external constituencies including community leaders, alumni, and donors.2. Oversee the Vice President and Athletics Director’s daily affairs. This includes calendar coordination, scheduling appointments, organizing meetings and events, assembling appropriate files and documents, making travel arrangements, reviewing and sorting incoming mail, routing correspondence and tracking response deadlines, receiving and assisting visitors, and organizing and maintaining confidential information and department files.3. Serves on the athletics senior leadership team and provides assignments and deadlines to staff members following meetings and retreats to further initiatives and communications within the department.4. Leads, plans, organizes, and coordinates special projects, events, and meetings for the department as assigned.5. Prioritizes activities and events for Vice President, Athletics Director, and senior leadership team to achieve appropriate department presence. Research, prepare, and distribute information regarding activities and events. Supports the department with various fundraising and donor relations activities. 6. Schedule rooms in athletics facilities for Athletics Department and other campus groups’ meeting space. Post schedule where appropriate and assist in the set-up of scheduled rooms. 7. Manage Vice President and Athletics Director’s budget, travel reimbursements, and P-Card. 8. Reconcile and code procurement card expenses for assigned coaches and administrators on a weekly basis. Review and audit all charges and assure they were made in accordance with the policies of the University, as well as the rules and regulations of the Horizon League and NCAA. Print monthly transaction reports and obtain necessary signatures. Assure all receipts and reports are filed in an orderly fashion. 9. Provide general office and event support to athletics administrators and staff as needed. 10. Serve as the Athletics Department liaison with University Housing. In collaboration with coaches coordinate on-campus housing needs for student-athletes on an annual basis. This includes incoming student-athletes, summer housing, early arrival for fall sports, and extended stay for spring sports.
