The Associate Director, Internal Operations contributes to the Internal Operations team in the areas of event management, football gameday operations, the planning and execution of NCAA and conference championships, game and facility scheduling, game contracts, camps, and other duties as assigned. This position is charged with working independently as well as collaboratively on athletic events, projects, and initiatives throughout the Internal Operations department. This individual is responsible for communicating with executive staff members, coaches, cadet-athletes, visiting teams and officials, and other Army West Point Athletic Association Inc. (“AWPAA”) and United States Military Academy (“USMA”) constituents in a professional, personable, and highly respectful manner.

The responsibilities outlined in this job description are integral to department success. All decisions associated with designated responsibilities, will be made in conjunction with the Assistant Athletics Director, Internal Operations and the Associate Athletics Director, Internal Operations.

Essential Duties and Responsibilities

50% Event Management & Game Operations

• Serve as the primary event manager for assigned sports as designated by the Director, Game Operations & Event Management.
• Coordinate with visiting teams, game officials, facilities staff, and event support staff as needed for assigned athletic events.
• Collaborate with key internal and external constituents (including USMA, United States Army Garrison) who contribute to the operation of home intercollegiate athletic events.
• Serve as the secondary event manager for events as required.
• Assist in preparation and management of the master sports calendar for the athletic department, to include the execution of required game contracts.
• Assist with the assignment of all game officials and processing the invoicing and payment to the same.
• Assist in management and oversight of third-party contractors hired to support home competitions.
• Assist in planning and execution of neutral-site competitions, including, but not limited to Army-Navy Football and Bowl Games.
• Assist in the planning and execution of outside user events (i.e., concerts, graduation, professional team visits).

15% Championship Planning & Execution

• Serve as the lead for championship event planning for both NCAA and conference championships.
• Collaborate with key internal and external constituents (including USMA, United States Army Garrison) who contribute to the operation of home intercollegiate athletic events.

15% Camp Support

• Assist the AWPAA Camps staff with the planning and execution of athletic camps held at West Point.
• Manage and maintain camps website.
• Assist in the coordination with facilities staff to have athletic facilities and barracks prepared for the operation of athletic camps.

10% Football Gameday Operations

• Assist with preparing for operations on football game days including, but not limited to, stadium operations, traffic, parking, shuttles, golf carts, and signage.
• Assist with the execution of football game days to include overseeing traffic, parking and shuttle buses in assigned areas.

10% Other Duties

• Assist in ongoing and future strategic initiatives in support of internal operations.
• Communicate with internal and external stakeholders to ensure the success of assigned initiatives.
• Other duties as assigned.

Work Conditions & Physical Requirements

• Perform duties in a fast-paced, ever-changing work environment.
• Must be able to remain in a stationary position for 50% of the time.
• Occasionally move equipment weighing up to up to 50 lbs.
• Occasionally move about inside the office to access file cabinets, office machinery, etc.
• Constantly operate a computer, printer, and phone.
• Frequently communicates with Athletic Department employees, USMA staff and vendors.
• Regularly work in outdoor weather conditions.
• Must be able to work nights, weekends, and holidays as needed.

Travel

The position will be expected to regularly visit and work out of athletic facilities on campus. This position will occasionally require travel to neutral site competitions.

Required Qualifications

• Bachelor’s degree or equivalent combination of experience and education may substitute.
• Two (2) years of relevant work/graduate program/internship/volunteer experience within an intercollegiate athletics department or professional team
• Excellent organizational, written, and oral communication skills.
• Demonstrated project and event planning and execution experience.
• Able to build and maintain relationships.
• Demonstrated initiative, well-developed problem-solving skills.
• Ability to assess, prioritize and execute an array of important tasks around shared priorities.
• Advanced skills using a variety of Microsoft Office products.
• Demonstrate good judgment and ability to respond quickly and deal successfully under pressure in an open and public environment.
• Commitment to compliance with campus, conference and NCAA rules and policies
• Leads by example with high personal expectations, character, and appropriate advocacy for AWPAA’s interests.
• Able to work nights, weekends, and holidays with some travel.

Preferred Qualifications

• Master’s degree or higher, or equivalent combination of education and experience may substitute.
• Experience working in collegiate athletic event management and game operations.
• Experience in planning and executing league/conference championships.
• Experience working in athletics operations.
• Experience working in a university environment.

Additional Eligibility Requirements

• Must be eligible to work in the United States of America, without sponsorship.
• Must be eligible to work on a military installation, including a willingness to submit to a background screen.
• Must possess a valid driver’s license.

Pay Range

$55,000-$60,000

This job posting contains a pay range, which represents the range of salaries that AWPAA believes, in good faith, at the time of this posting that it might be willing to pay for the posted position. AWPAA expects to hire for this position near the middle of the range. Only in truly rare and exceptional circumstances, where an external candidate has experience, credentials or expertise that far exceed those required or expected for the position, would AWPAA consider paying a salary or rate near the higher end of the range.
