Description

JOB SUMMARY: This position serves to provide coordination and support efforts for the Athletic Department, which consists of 23 varsity sports, over 700 student-athletes, 15 club sports, and intramurals. This person will also support full-time and part-time staff of 80+ employees and multiple athletic facilities.

MAIN RESPONSIBILITIES:

• Provide administrative and office management support to the athletic director, coaches, and other staff members

  • Supervise student employment staff

• Assist with budget tracking, expense reporting, and financial record-keeping

• Organize and maintain departmental records, files, and databases

• Assist with compliance documentation, student-athlete eligibility, roster management, and record-keeping related to NCAA regulations

• Process NCAA reports and assist with the annual EADA report

• Address athletic inquiries, resolve issues and direct individuals to the appropriate

• Attend weekly and monthly meetings with athletics staff

• Supervise student employment staff

• Assist with the planning and coordination of athletic events, meetings and special functions

  • Manage ticket sale set-up and reconciliation, payments for external event workers, and logistics for external bus/van use
  • Coordinate calendar for two recruiting vehicles, in charge of key usage and coordinating service for vehicles

• Handle sensitive information with professionalism, discretion and confidentiality

• All other duties as assigned

Prerequisites

MINIMUM QUALIFICATIONS:

• High school degree or equivalent
• 2+ years of general office experience
• Excellent customer service and communication skills, both written and verbal
• Strong organizational skills with the ability to prioritize and meet deadlines
• Proficient in Microsoft Office Suite products
• Experience with expense reporting and managing and/or tracking a budget, preferred

PREFERRED QUALIFICATIONS:

• Bachelor’s degree
• Knowledge of NCAA Rules and Regulations
• Experience in working in an athletic department
