The Office of the Registrar is seeking an Athletic Compliance Coordinator. This is a full-time (1.0
FTE
), 12-month, professional faculty position.
The Office of the Registrar is an Oregon State University mission-critical unit. We serve as an innovative partner, providing a clear path for student success. The Athletic Compliance Coordinator position in the Office of the Registrar is a member of the Compliance Team and reports to the Assistant Registrar – Scheduling & Athletic Compliance. This position is responsible for the coordination of all aspects of initial, transfer and continuing academic eligibility certification, including working with the Directors and Academic Counselors in Academics for Student Athletes, Athletic Compliance and the Offices of Admissions and Financial Aid.
The Athletic Compliance Coordinator serves as the athletic certifying officer and is responsible for ensuring compliance and implementation of academic regulations put forth by the National Collegiate Athletic Association (
NCAA
) and the Pacific 12 Conference (
PAC
-12). Collaboration and communication are important aspects of this position to build and maintain strong partnerships across the institution. Success in this position includes attention to detail and the ability to pivot quickly within an ever-changing environment; comfort with ambiguity and flexibility are also important.

MONITORING

ACADEMIC
ELIGIBILITY
Develop and maintain data systems to monitor and certify student-athlete academic eligibility (initial, transfer, continuing).
Complete independent quarterly assessment of student-athletes’ progress and percentage-towards-degree, per
NCAA
academic regulations. Collaborate with Academics for Student Athlete Academic Counselors to compare independent assessment of student-athlete eligibility benchmarks and calculations.
Track, evaluate and monitor continuing student-athlete eligibility, including full-time status, degree applicability, progress-toward-degree, and percentage-towards-degree.
Build and maintain accurate student-athlete certification cohorts.
Ensure accurate record keeping of academic eligibility data, including transfer and end of term certification data.
Manage all aspects of the transfer and continuing eligibility certification processes.
Perform percentage-towards-degree projections for prospective transfer student-athletes.
Continually assess monitoring and certification practices for potential unidentified barriers which disproportionately affect student-athletes of color or historically underrepresented and underserved populations.

Assist Oregon State University and the
NCAA
Athletics Compliance Office by ensuring compliance with all University,
PAC
-12 and
NCAA
policies and regulations.
Collaborate with the Athletics Compliance Office to obtain, enter, and submit accurate data to the
APR
and
GSR
data reporting systems.
Maintain timely and accurate systems for completing mandated forms, reports, assessments, and audits as required by various agencies (
NCAA
, etc.).
Respond to data queries from Athletics Compliance and the
NCAA
.
Work collaboratively with
OSU
Academic Advisors to ensure accuracy of student-athlete progress-towards-degree data, which is utilized in certification.
Respond to inquiries from
ASA
, Athletic Compliance, and various campus partners.
Attend regularly scheduled meetings with representatives from Academics for Student-Athletes, Athletic Compliance, and the Office of the Registrar. Collaborate as an active listener and participant, engaging in dialog which enhances cultural competency, respect, and advocates for equitable eligibility practices among the student-athlete population.
Respond to questions and requests for information from the Associate Provost and University Registrar, Deputy Registrar/Associate Registrar-Compliance and Assistant Registrar, Scheduling & Athletic Compliance.

Attend regular team and Office meetings. Actively participate in all Office discussions, workshops, and retreats. Participate in university or professional organization staff development activities or conferences.

Assist with annual commencement related activities and ceremony, as required.

On occasion, assist other units within the Office of the Registrar with university programs and activities.
Bachelor’s Degree.
Two years’ experience managing compliance or regulatory functions such as athletics certification/compliance, veteran’s benefits certification, degree clearance, accounting/auditing, banking or hospital regulations, or similar type work.
A demonstrated ability to produce accurate work efficiently in a high-volume environment.
Ability to analyze complex issues and situations through many lenses, including an equity lens, identify alternative solutions, forecast consequences and disparate impacts across student populations, and recommend an effective course of action.
Effective written and verbal communication skills, including the ability to communicate inclusively with diverse audiences including administrative management and academic constituencies.
Experience with Microsoft Excel, Word, and other Office software.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
Master’s Degree.
Experience working within a Registrar’s Office at an institution of higher education.
Experience with a student information system (e.g., Banner, Colleague, Jenzebar) and/or a degree audit system (e.g., Degree Works, uAchieve,
DARS
).
Demonstrated familiarity and experience with
NCAA
Division I academic eligibility rules and regulations.
Experience working within a
NCAA
Division I Athletics Department, an Academic for Student-Athletes Department, or as an athletic certifying officer.
Ability to work within an environment where ambiguity and the ability to pivot quickly are commonplace.
Typical office environment, 8 AM – 5 PM, Monday through Friday schedule.
