Classification Title: Administrative Support Coordinator II
Classification Salary Range: $3,681 - $6,034 per month
The anticipated hiring range for this position is $3,681 - $4,583 per month.
The final salary is dependent upon qualifications and experience.
About the Department/Position:
Under the general supervision of the Associate Vice President/Director of Athletics the Athletics Office Coordinator provides complex coordination of the Athletics department secretarial functions which include but are not limited to greeting all incoming visitors, managing the AVP's calendar, coordinating administrative functions, and planning and organizing department activities. The incumbent works closely with the AVP to act on their behalf coordinating and organizing their schedule; preparing and distributing regular and ad-hoc reports and following up with staff and coaches on tasks assigned by the AVP. The Athletics Office Coordinator will work with individuals internally and external to CSU, Dominguez Hills, nurturing professional relationships with all levels of staff and management as a representative of the department. A strong customer service attitude and attention to detail is essential. This incumbent may provide lead direction to student workers as directed.
The schedule may be adjusted to work evenings or weekends depending on events.
Overview of Duties and Responsibilities:
AVP/Director of Athletics Support.
Provide a full range of varied and complex administrative support to the AVP/Director of Athletics and support special projects as directed.
Provide high-quality customer service to students, staff, faculty, administrators, and external stakeholders visiting the office.
Oversee the day-to-day clerical operations of the office which include, ensuring front desk coverage at all times, coordinating meetings, filing, supporting new employee onboarding, and backup campus requests (IT help tickets, physical plant work orders, key requests, procurement, etc.)
Coordinate travel arrangements, and reservations, plan itineraries, prepare travel authorizations, and advances, and process expense claims.
Provide backup support for timekeeping; confirm and track staff and student attendance, absences, vacation, timesheets, and time off requests.
Minimum Qualifications:
High school diploma or equivalent.
At least three years of related office work experience.
Valid driver license.
Knowledge, Skills, and Abilities:
General knowledge of intercollegiate sports
Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to the work area.
Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
Ability to use negotiation and persuasion skills to achieve results and expedite projects.
Preferred Qualifications:
Education: A four-year degree from an accredited college or university is preferred.
Experience: At least three (3) years of work experience providing progressively responsible administrative support in an environment of similar complexity. Previous experience working in athletics.
Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.
Thorough mastery of English grammar, punctuation, and spelling.
Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
Ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions.
Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
Ability to effectively write and present own reports.
