General Function (Description):
This position divides its time into two primary areas- Business and Office manager. Provides
professional support to the Director of Athletics in all areas of the department as needed. This
individual will be responsible for organizing and coordinating office operations and procedures to
ensure smooth operation of the office and advises on organizational and institutional matters under
this position's span of control. Possesses proficient computer skills in Microsoft Office Suite (Word,
Excel, PowerPoint, Publisher and Access), and social Media web platforms. The ideal candidate for
this position is ve1y punctual, organized, detailed-oriented, flexible, values teamwork, and possess a
"can do" attitude. This position will require several evenings and/or weekend hours. The position
requires occasional travel with teams or to athletic-related functions.
As the Athletics Business Manager, the primary business functions include overseeing the day-to-
day business operations within the Department of Athletics; monitoring departmental budgets and
creating monthly and annual budget reports; maintaining files, databases and records, and assisting
with the updating of business operations processes; providing financial information to both internal
and external individuals; Adhering to CAU, NCAA, and SIAC rules and regulations along with the
policies and procedures of the Athletics Department; providing detailed analytical support for the
fiscal operations of the department including the monitoring of budgets; developing financial reports
for all sport units and assisting with annual budget preparation; handling receipts, deposits, and
control of all accounts receivables and payables, cash advances, expense reports and other funds for
the department; processing requisitions, web-based ticket sales, and purchase order paperwork;
submitting bid requests as needed; coordinating the University procurement card program for
department cardholders; processing student employment paperwork; hiring game day staff; and
performing other duties and responsibilities as assigned.
Examples of Duties and Responsibilities:
Drafts correspondence, presentations and other documentation as required.
Keeps a well-organized and systematized database of records.
Accompanies the Director of Athletics to meeting as required.
Reviews and directs mail, telephone calls, etc. to other approp1iate areas as needed.
Records and transcribes minutes from various department meetings.
Arrange all travel and itinerary planning for the Director of Athletics in the course of
University business.
Assists the Director of Athletics with the preparation of all required reports.
Designs and implements office policies and procedures as needed.
Assists with the preparation of information for workshops, retreats, special events, etc.
Assists in maintaining and monitoring office budget and requisition process for
operating office.
Maintains all departmental office records and ensures filing system is up to date.
Assist with onboarding of new employees entering the department.
Orders and maintains office supplies invento1y as needed.
Manages Athletics Department budgets.
Meets monthly with coaches in their sport season to ensure timely expense reports are
submitted and reconciled.
Manages Graduate Intern Program and Work Study Programs.
Responsible for cash flows during Athletic Events.
Responsible for implementing ad maintaining a cashless system for Athletic events.
Bids all team transportation.
Arranges drivers for University-owned vehicles.

Must have exceptional interpersonal, organizational, verbal and written
communications skills.
Must have the ability to st1ictly adhere to confidential standards in all matters
pertaining to this position.
Must have exceptional communication and interpersonal skills.
Must have high proficiency in writing and editing skills.
Must have the ability to multi-task in a fast-paced environment.
Must have the ability to anticipate and resolve problems and the ability to deal with
guests when they are angry or upset.
Must be proficient in the use of Microsoft Office Suite (Outlook, Word, Excel,
PowerPoint, etc.), and Social Media web platforms, and working knowledge of office
practices and methods.
Must have the ability to organize work effectively, conceptualize and prioritize
objectives and exercise independent judgment based on an understanding of
organizational policies and activities.
Must have the ability to establish and maintain effective work relationships with
students, faculty, staff and the public and the ability to represent the Academic Affairs
division and the University in a friendly, courteous and professional manner.
Must be willing to work evening and weekend hours as needed.
Minimum Hiring Standards:
Education
Years of Experience
Bachelor’s degree (preferred) in Office Management or
Business Administration or a related field is required.
Three to five years of progressively responsible job-related
experience is required. Previous experience in an executive level
office assistance required
Years of Management/Supervisor
Experience
Some experience is preferred
