Other Conditions : Position is a temporary casual hire position and offers no benefits, not to exceed 19.75 hours/week.
Duties and Responsibilities:
*The Athletic Support Specialist (Director of Men's Basketball Operations) is responsible for providing administrative and operational support of the men’s basketball program including but not limited to managing the program budget, promoting the program and day-to-day administrative operations, communication with both internal & external constituencies, facility scheduling, film exchange and summer basketball camps.
*Responsible for planning and coordinating all aspects of team travel for away contests, including but not limited to developing travel itineraries, transportation and hotel arrangements, meals, coordinating practice sites and times that meet NCAA rules and regulations. Ensures per diems are allocated to the appropriate players, coaches and others in the traveling party prior to travel. Reconciles all travel expenses.
*Serves as facilitator to the UH Athletics Compliance Office on all travel related issues and other issues that arise around NCAA rules and
regulations.
*Responsible for securing facility needs on a day-to-day basis for all home and away practice times. Serve as a liaison with facilities, women’s basketball and men’s and women’s volleyball on scheduling.
*Responsible for collaborating with visiting basketball teams to coordinate scheduling of practice times and assisting the visiting teams with game day needs such as pre-game meals.
*Responsible for hiring, supervising and evaluating team managers and ball-kids and selecting and monitoring program volunteers.
*Records game statistics as needed by the coaching staff and presents statistics and analysis as requested.
*Responsible for organizing all aspects of prospect official recruiting visits and on-campus contacts (e.g. facility scheduling, schedule activities while visiting, host coordination, hotel accommodation, meal schedule and flight arrangements, transportation, campus meetings with UH personnel such as the faculty and athletic staff, etc.). Coordinates unofficial visits including complimentary game tickets.
*Develops and implements a strategic marketing plan to market and promote the Men’s Basketball program to recruit the best prospective student-athletes capable of competing at the highest level of Division IA basketball.
*Designs recruitment mail-outs, emails, faxes, and other related materials and finalizes text for electronic and print publications while ensuring compliance with the team’s marketing/recruitment goals and objectives.
*Develops and implements a correspondence plan that may include weekly mailings and emails. Responsible for maintaining and updating the men’s basketball team’s social network websites.
*Maintains recruitment database on prospective players to generate reports, analyze recruitment efforts, and respond to the coaching staff’s technical questions.
*Provides leadership and training for program staff us of Compliance software.
*Manages the basketball program’s budget, ensuring that all expenses are within rules and regulations of the University of Hawai‘i, UH Foundation, and the NCAA. Prepares, analyzes and interprets the team’s financial condition by monitoring financial reports, recording any significant changes and making recommendations to the coach. Prepares and reviews fiscal related documents such as requisitions, quotations, purchase orders, travel and other fiscal documents for compliance with applicable laws, UH, UH Foundation and NCAA policies and procedures, rules and regulations.
*Plans, organizes and coordinates all logistics of the summer camp program. Duties include but not limited to promoting the program by creating and distributing brochures, managing the budget to ensure expenses such as supplies and staff are within budget, organizing registration, overseeing the staff hiring, scheduling facilities, and establishing the daily camp schedule.
*Uses film exchange software to coordinate all film exchange during the season for the program.
*Serves as facilitator to athletic administration, academics, media relations, facilities management, equipment room, weight room, the medical and training room staff, and other organizations.
*Acts on behalf of coaches in immediately addressing issues and concerns with the student-athletes, administrators and other staff members and continually handle as many issues as possible.
*Receives complaints from booster club members and the general public and resolves them or makes a referral for assistance. Involves Head Coach when appropriate and necessary.
*Collects and analyzes information on the team’s academic performance and progress and prepares administrative reports to advise coaches of
potential or actual problems in meeting UH and/or NCAA rules and regulations; works with the coaches and team players in resolving these problems.
*Actively participates in promotional and public relation activities for the men’s basketball program leading to increased community involvement and attendance at games.
*Develops and maintains effective contacts internally and externally with community leaders, booster club members, fans, alumni, and business executives in order to promote the attitudes, views, policies and style of operation of the Head Basketball Coach and advise the Head Basketball Coach of opinions and conditions affecting the operation and development of the program.
Maintains files of each individual student-athlete – past, present and future.
*Develops and maintains a master calendar for the basketball program (i.e. practices, games, alumni games, camps, community service activities, fundraising activities, rallies, etc…)
*Serves as liaison with the booster club and be responsible for achieving annual program fund-raising goals.
*Travels with the team with responsibility for ensuring that all of the planned logistics are carried out appropriately and address any coordination problems that may arise.
*Work outside normally scheduled work hours including days, nights, weekends and /or holidays hours as directed. Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
Demonstrate a positive & professional working attitude & maintain a collaborative working relationship with the coaching staff, team members, support staff, administrators in the UH Athletic Department & other individuals associated w/the men’s basketball program.
Know, recognize, and comply with the laws, policies, rules, and regulations governing the University of Hawaii and its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future.
Immediately advises the Director of Athletics or designee if there is reasonable cause to believe violations, whether by employees or students, have occurred or will occur.

Minimum Qualifications:
Possession of a baccalaureate degree in arts and science, business administration, education or related field and 1 year professional experience with responsibilities for administrative support for a collegiate basketball program; or equivalent education/training or experience.
Considerable working knowledge of principles, practices and techniques in the administration as it relates to intercollegiate administration as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concept methodologies.
Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with administration as it relates to intercollegiate athletics administration.
Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.
Knowledge of basketball as played at the intercollegiate level.
Working knowledge of NCAA rules and regulations as it pertains to basketball.
Ability to work outside normally scheduled work hours including day, night, weekend and /or holiday hours as directed. Demonstrated ability to work with multiple and competing deadlines and frequent interruptions.
Demonstrated ability to work cooperatively and effectively with people of diverse backgrounds and work in a team-oriented environment within a culture of collaboration, support and inclusiveness.
Strong oral and written communication and presentation skills.
Cell phone and social media technology competency to use technology to advance the program.
For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
