Minot State University is seeking candidates for the full-time Coordinator of Athletic Operations position.This position provides office management direction, facility operations, and administrative assistance for the AD’s calendar and meetings, athletics administration staff, and the MSU coaching staff. This is a vital leadership, management, communication, and multi-dimensional position. This position reports directly to the Vice President of Student Affairs & Intercollegiate Athletics (or his/her designee).

This is a vital leadership, management, communication, and multi-dimensional position. This position reports directly to the Vice President of Student Affairs & Intercollegiate Athletics (or his/her designee).

Education: Bachelor’s Degree required

Experience: Experience in office management.

Which types of experience might be substituted for the education requirements?

1-3 years working in an office environment.

• Staff members have a duty to cooperate with and furnish the NCAA, the conference, or the institution with truthful and complete information concerning involvement in or knowledge of rules violations.
• A coach or staff member may be suspended or terminated if found to be involved in deliberate and/or serious violations of NCAA regulations
• Rules education, satisfactory rules knowledge, and documenting compliance activities are mandatory and athletics personnel will be evaluated on their performance

Serves as a member of the athletics administrative team through office operations, practice/competition and event organization, and processing information. Est. Time Allocation: 100%

Office Operations

• Provide administrative support to the Director of Athletics as well as all other athletic administrators.
• Answer phone and greet visitors to the athletics office.
• Maintain all current game contracts.
• Maintain all current & new employee contracts
• Prepare & submit weekly payroll reports

Athletic Operations

• Work with all P-card holders to reconcile P-card receipts with monthly credit card statements.
• Prepare vouchers for payment of invoices.
• Assist & prepare deposits of all incoming revenue, including counting cash
• Schedule & preparation of workers for all game day events
• Assist with compiling summer camp financial information, creating SSI spreadsheets, and following NDUS policies.
• Available for all home events, assisting Game Management Administrators.
• Assist with Pre-registration and Onsite Event Registration for the following Beaver Booster Events: Basketball Tournament, Spring Party, and Beaver Booster Scramble, and Hall of Fame banquet.

General:

• Manage the Athletic Offices.
• Coordinate all activities within institutional, conference, and NCAA guidelines.
• Game Management as assigned by the Director of Athletics.
• Other duties as assigned by the Director of Athletics.

Minimum Requirements

Knowledge, skills, and abilities preferred to perform duties and responsibilities described above:

• Experience in Intercollegiate Athletics is desirable, but not required.
• Possess computer skills for word processing, databases, and spreadsheets.
• Demonstrated office management abilities.
• Have strong verbal and written communication skills, as well as interpersonal and organizational skills.
• Demonstrated ability to multi-task.
