Job Summary

The Development Associate will provide a high level of administrative and organizational support to development staff in the Office of International Advancement and the Office of Athletics Advancement. The position requires a personable, energetic individual who is eager to contribute through excellent interpersonal and written communication skills, project management and collaborative interaction with other members in Advancement, academic departments, and Deans’ offices.

The Development Associate works independently with minimal supervision; proactively updates supervisors on status of projects; schedules international and domestic travel and handles complex calendars; manages monthly expense reports and reconciles departmental budgets; organizes large and small-scale international and domestic events (on/off-campus), handling all details to ensure successful completion; works with University Events and Office of Alumni Relations colleagues on larger international and domestic events; gathers/maintains data and assists in preparing paper/electronic reports using variety of computer software; organizes/implements administrative systems and procedures; and, composes, proofreads, edits and prepares regular correspondence, acknowledgements, mailings, reports, publications, online communications, and other materials. Must be comfortable talking to alumni, parents and faculty on the phone and in person. They will act as liaison with other groups across Northeastern University. The Development Associate is also responsible for other administrative tasks as required, contributes to departmental goals by accomplishing related duties as required, and provides for smooth day-to-day flow of development operations.

Minimum Qualifications

The university is seeking a highly motivated, entrepreneurial, energetic individual who can think independently and analytically and seeks to build a career in advancement;
- Bachelor’s degree desired;
-At least two (2) years related office experience, preferably in higher education and/or development;
-Must be able to exercise absolute discretion and good judgment when dealing with confidential and sensitive material;
-Maintain standards of professional competence and adheres to a professional code of conduct;
-Ability to manage and facilitate an intense workload and produce quality results in a fast-paced environment;
-Will manage multiple priority projects at once with ease and efficiency;
-Will be proactive; anticipate problems; be resourceful and work effectively with colleagues and external constituents at all levels;
-Excellent verbal and written communication skills; enjoys working with people and possess skills necessary for building relationships with external (donors, prospects, trustees) and internal (deans, faculty, staff, colleagues) constituents; highly collaborative in approach;
-Strong organizational skills required;
-Must possess a strong knowledge of Microsoft Office software and a strong technical understanding of database management and reporting;
-Experience with Salesforce a plus;
-Proven ability to analyze data, research information, problem-solve and coordinate projects.

Key Responsibilities

Administrative Support

Provide key support and management of logistics to the Executive Director and relevant other directors. Manage calendars, make travel international and domestic arrangements, conduct outreach to prospective donors for travel visits, prepare materials for events and meetings, prepare research and briefing materials for meetings and events with donor prospects, assure that prospect data is accurate and up-to-date, draft follow-up correspondence, debrief others on next steps, record results of meetings with donors and prospects in database, prepare gift documentation. Reconcile travel expenses and monthly departmental budgets.

Communication

Manage the publication and mailing of newsletters, invitations and other materials. Compose, proofread, edit, and prepare correspondence, reports, posters, and other materials. Coordinate with the Marketing and Communications team to build and update the alumni and giving presence on the website and to create marketing strategies for events and campaigns using email, the website, and social media. Run the stewardship programs for International and Athletics Advancement, including drafting acknowledgement letter templates and seeing to the regular acknowledgement of gifts. Ensure timely correspondence after meetings and events with donor prospects, faculty and staff. Coordinate mailings as needed. Serve as frequent contact with alumni, donors, prospects, and volunteers. Act as a liaison with central Advancement and other units across the university.

Project and Event Management

Take the lead on various projects and events throughout the year, organizing all logistics to ensure successful completion; including tracking responses and event production work. Collaborate with staff in various departments across the colleges, Development, University Special Events and/or Office of Alumni Relations on university-wide events.

Database Management

Lead effort to assure that key contacts, correspondence, and strategies are entered in relationship management software for major and principal gift prospects. Design and extract reports to oversee and monitor strategic activity with prospects and donors. Monitor and implement systems to assure strategic follow up by senior administrators and faculty.
