General Information:
James Madison University (JMU) Duke Club is accepting applications for a Graduate Assistant. This is a two-year position, August-May, contingent on performance and academic program requirements. The position includes 12 tuition credits per semester (fall and spring). A stipend will be provided per semester. The candidate will work approximately 20 hours per week.
The candidate must be in the process of obtaining a master’s degree at James Madison University and possess a strong desire to recognize, celebrate, and impact athletics annual giving and donor engagement initiatives through collaboration with department staff as well as JMU students, faculty, staff, alumni, and donors.
The Duke Club is the fundraising arm for JMU Athletics, providing financial support to all of the 18 varsity sport programs. Duke Club members are Proud & True Fund (PATF) donors who recognize the value of the student-athlete experience and the JMU education — helping to keep JMU Athletics programs among the best in the nation.
Support of the Proud & True Fund is vital to the continued success of more than 500 JMU student-athletes and makes a significant impact on each athlete and program.
Position Reporting & Program Information:
Reporting to, and with assistance from designated staff, the director of special events and donor stewardship with the Duke Club. The Duke Club is the fundraising arm and annual fund (Proud & True Fund) for JMU Athletics that supports the 18 varsity sport programs, scholarships, and the athletics general operating budget — as well as support for restricted giving sport program funds and fundraising initiatives for all 18 varsity sport programs and cheerleading.
Duties and Responsibilities:
Specific Responsibilities:
Customer Service
• Assist with day-to-day customer service — _including, but not limited to answering phones, accessing donor/member account information, processing payments, etc. for the Duke Club and associated membership programs
• Serve as a contributing team member of the Marketing, Events, Communications (MEC) team within the Duke Club (inclusive of the director of internal development, the director of events & stewardship, and the graduate assistant for events & stewardship) to assist with project plan development, pre & post event plans and evaluation, on-site event management assistance and area leadership
Special Events
• Prospect, communicate and serve as the point of contact for all vendors that will be participating in Friday Night Flights via email, phone call and/or in person visits.
• Research, prospect and sell sponsorships for Duke Club Golf Classic for specific goals set by the internal team.
• Assist with day-to-day operations and logistics on special events and two major fundraising events.
• Assist with tracking and monitoring of RSVPs for all Duke Club events.
• Work in collaboration with director of special events & donor stewardship, director of internal development and graduate assistant for marketing & communication on executing marketing and communication plans for all Duke Club events
Donor Stewardship & Reporting
• Run monthly membership report to send membership packets to all who gave a minimum gift of $75 or more to the Proud and True Fund
• Track a master list for membership packets and various stewardship incentives that take place throughout the calendar year
• Oversee, track and run reports for donors at bluestone level or higher to receive a letter from a current JMU student-athlete
• Serve as stewardship & reporting lead/manager that will work with an event & stewardship intern that will be execute the mailing/sending process of some stewardship
Student Duke Club
• Management of Student Duke Club/administrative support to board & president
• Work with marketing and communication GA on communication plans for the club
• Benefit fulfillment (membership t-shirt, early access to basketball/football games and exclusive opportunities)
• Database management in Paciolan
• Plan and execute yearly plan for Student Duke Club with board
General Administrative Support
• Collaborate with JMU Athletics staff partners in the Duke Club, Athletics Ticket Office, Fan Engagement, Graphic Design, Sports Information, and university partners in advancement, Aramark (catering), promotional companies, and UA events.
Game Day
• Assist with general gameday operations for all football games in the premium spaces (Club/Suite Level)
• Assist with general gameday operations for some basketball games in the premium spaces (Club, Courtside Lounge, Suites)
• Help coordinate hospitality areas for all home football and basketball games
Qualifications:
Qualifications:
• Must have earned a bachelor degree at an accredited university
• Demonstrated familiarity and/or interest in non-profit work and/or college athletic fundraising
• Has had experience executing fundraising events
• Demonstrated familiarity and/or interest in donor stewardship
• Must have an ability to work independently and in a group setting.
• Demonstrate strong organizational, interpersonal, management, and time management skills.
• Excellent written and verbal communication skills
Conditions of Employment:
Students may apply to a graduate assistantship prior to being accepted into a graduate program. However, to be eligible to receive an assistantship upon entry into a graduate program, the following criteria must be met:
The student must be conditionally or unconditionally accepted into a graduate program. Students who are provisionally accepted will not be eligible until they achieve conditional or unconditional acceptance into their program.
The students must have an official transcript on file indicating completion of a baccalaureate degree from an accredited institution or agency
After receiving an assistantship, the student must maintain at least a 3.0 graduate GPA in order to retain or reapply for the assistantship.
These are minimum criteria. Graduate program coordinators have the right to impose additional criteria if they see fit.
