Event Coordinator

The Development department within UCLA Athletics is currently seeking a part-time student

assistant as an Event Coordinator to assist in the production of small and large events for UCLA

Athletics, Development. Events occur mostly on campus but some will be off campus. Events occur

seasonally and mostly during evenings and weekends. Responsibilities for the Event Coordinator

mainly include assisting the Director of Special Events in event production.

Event Coordinator Duties and Responsibilities:

 Assisting the Director of Special Events in managing events on the day-of, including problem-

solving, welcoming guests, directing event set-up, communicating with staff, organizing vendors,
as well as organizing loading and unloading of vendors.

 Requesting interdepartmental purchase orders, collecting invoices so vendors are paid in a

timely manner, and creating expense and income reports.

 Deposit income generated from events and RSVPS

 Assure that projects stay on course and deadlines are met.

Skills & Abilities:

 Flexibility to work up to 17 hours a week including evenings and weekends.

 Candidate should be extremely organized and able to manage the logistics of multiple events

occurring within the same time frame.

 Strong communication skills with emphasis on maintaining good relations with vendors, clients,

donors, fans, alumni, staff, guests and all constituents involving events.

 Enjoys social situations and dealing with the public as well as high level donors to UCLA

Athletics.

 Ability to retrieve good information from research to find elements involving events such as
entertainment, venues, photographers, musicians, florist, speakers, lighting, decorations,
rentals, audio/visual, etc..

 Ability to address multiple tasks at the same time.

 Able to handle stressful situations in cases when things don’t go as planned at events.

 The Event Coordinator position will involve some physical activities such as lifting and carrying

items and require you to be able to lift at least 20 lbs.

Pay: $17.30/hour.
