About the Position:
This role is an on-campus, in-person position.
The Executive Assistant provides executive level support to the Director of Athletics, the Athletics Strategy Team and the overall department. This position will report to the Chief of Staff and support the Chief of Staff with day to day operations.
This position is a crucial part in facilitating seamless operations and Athletic departmental priorities, ensuring the needs of the strategy team, student- athletes, staff, and all campus constituents are met efficiently and effectively.
Essential Functions:
Provides executive level administrative support to the Director of Athletics. Screens and directs phone calls. Manages office visitors (student-athletes, staff, campus constituents). Serves as receptionist for the Department of Athletics. Assesses urgency of requests and ensures connecting individuals with appropriate resources in a timely manner. Prioritizes needs and requests.
Manages and maintains a complex calendar for the Director of Athletics office, including appointments, meetings, travel, competition dates, Athletics department functions, and tracking deadlines. Schedules and handles arrangement for complex meetings, events and travel. Facilitates requests from alumni, donors, and other key constituents in alignment with Athletics values of service and teamwork.
Provides support to Director of Athletics and strategy team including planning, organizing, and arranging meetings, events, and special projects for the department as assigned. Researches, prepares, and distributes information and materials (agendas, reports, correspondence, spreadsheets) for meetings and events. Edits and proofreads correspondence and reports.
Prepares and facilitates general intra-departmental communications; Reviews and analyze incoming requests, correspondence, e-mails, and reports to determine significance and executes distribution. Maintains Athletics files and records.
Arranges and oversees athletic travel/hotel reservations. Facilitates travel arrangements with Anthony Travel as needed, Prepares expense reports for Director of Athletics and senior leadership in compliance with University policy. Prepares travel itineraries. Assists with processing orders and expense reports as needed.
Provides event and operations support on football game days and other special events to support the Chief of Staff.
Assists with special projects and other duties as assigned
Qualifications
Education and Experience:
Bachelor’s is required.
A minimum oftwo years of work experience providing administrative support is required. Experience providing administrative or operational support in collegiate athletics preferred.
Knowledge, Skills and Abilities:
Candidate must demonstrate strong verbal and interpersonal communications skills to effectively interact with a wide range of constituencies in a diverse community. Must also demonstrate a strong customer service orientation. The ability to be flexible and adapt quickly to changing priorities and needs is essential.
Candidate must demonstrate strong written communication skills with ability to disseminate information into precise and effective written communications. Must also demonstrate a strong focus on attention to detail (with grammar/spelling, data, etc.).
Candidate must possess strong time management, organizational and planning skills with the ability to manage multiple tasks and meet deadlines in a fast-paced team environment. Must also demonstrate a high level of initiative on assignments, with the ability to work with minimal supervision and follow through with appropriate actions.
Candidate must possess strong problem-solving skills with the ability to be resourceful, proactive, solve problems through effective collaboration and appropriate communication.
Candidate must demonstrate high level of proficiency with Microsoft Office (particularly Outlook, Word, and Excel). A strong technical aptitude with the ability to learn new software quickly is essential.
