Responsibilities :
The University of Louisiana at Lafayette is seeking a dedicated and motivated individual to fill the role of Executive Assistant to the Vice President for Intercollegiate Athletics in the Athletics Office. is The successful candidate should have a strong passion for intercollegiate athletics and is dedicated to pursuing a career in Athletics Administration. This position will work closely with the Vice President for Intercollegiate Athletics, Deputy Director of Athletics/ SWA, Sr. Associate Director of Athletics for Compliance, Director of Student-Athlete Development and other external partners in advancing the overall mission of the athletic department. The incumbent will report to the Vice President for Intercollegiate Athletics.
This position will be charged with providing professional, executive level administrative support. They will be required to perform duties independently and confidentially and must exercise a high level of judgment and initiative.
Responsibilities:
- Ability to anticipate problems and critical issues as they arise, providing summary information to facilitate a timely response.
- Edit & proof all executive correspondence effectively for legibility, grammar, and punctuation errors before being submitted for approval.
- Managing calendar schedules.
- Organize & prepare for meetings, including but not limited to agendas, gathering materials & attending to logistics.
- Preparing travel & accommodation arrangements
- Reconcile all expenditures & business-related materials.
- Assist with gathering data for routine reports.
- Handling correspondence, phone calls, visitors & determining appropriate action.

- Assisting with organization of numerous special projects & events throughout the year.
- Ensure NCAA & other Athletic industry databases are updated with personnel information.
- Supervise & manage Athletic Administrative Coordinators.
- Perform office tasks including maintaining records, contracts, monthly reports; ordering supplies, and ensure office machines & equipment operate properly.
- Perform other duties as assigned.
Qualifications:
Required Qualifications:
-Bachelor’s degree from accredited institution
-At least five (5) years of experience providing executive level administrative support.

-Demonstrated ability to interact positively with both internal and external constituencies.
-Ability to multitask & prioritize tasks.
-Excellent communication and interpersonal skills
-Excellent organizational skills & attention to detail
-Excellent time management skills
-Demonstrate ability to solve problems & resolve conflicts.
-Present executive level professionalism & demeanor.
-Ability to function well in a high-paced and demanding environment.
-Extreme proficiency with Microsoft Office Suite or similar software with the ability to continue developing technology skills.
