Summary of Job Duties: We are seeking a dedicated Extra Help Assistant/Event Coordinator to manage the planning, production, and execution of the SpectacUALR event, which supports Trojan Athletics and honors Anne and Merritt Dyke. This position will be responsible for all event logistics, volunteer management, and coordination of pre-event, event-day, and post-event activities. This position is governed by state and federal laws and agency policy.
Qualifications:
Required Education and/or Experience:
Proven experience in event planning and coordination, preferably for large-scale events;
High School Diploma.
Preferred Education and/or Experience:
Experience working in sports events, fundraising events, or nonprofit settings;
Knowledge of the UA Little Rock community and Trojan Athletics.
Job Duties and Responsibilities:
Event Planning & Production:
Develop and manage event timelines, ensuring deadlines are met for all tasks leading up to the event;
Oversee vendor coordination, including securing quotes, contracts, and services for catering, AV, décor, and any other event-related needs;
Organize layout and design of the venue at the Jack Stephens Center, including seating arrangements, stage setup, and technical logistics;
Ensure all permits and event insurance requirements are met.
Volunteer Management:
Recruit, coordinate, and manage volunteers for various event tasks such as setup, registration, guest assistance, and cleanup;
Provide training and direction to volunteers to ensure the event runs smoothly.
Event-Day Execution:
Act as the primary point of contact on the day of the event for vendors, staff, volunteers, and attendees;
Ensure all event activities are executed according to plan, addressing any issues that arise in real time;
Coordinate guest check-in, seating, and any special arrangements for honorees and VIPs.
Post-Event Activities:
Oversee the breakdown and clean-up of the venue post-event, ensuring all items are returned and the space is left in good condition;
Conduct a post-event evaluation to identify successes, challenges, and opportunities for improvement;
Prepare a comprehensive post-event summary, including feedback from attendees, staff, and volunteers.
Knowledge, Skills, and Abilities:
Strong organizational and multitasking skills, with attention to detail;
Ability to manage timelines, budgets, and resources effectively;
Excellent communication and interpersonal skills for working with vendors, volunteers, and event attendees;
Ability to remain calm under pressure and handle last-minute changes;
Availability to work flexible hours, including weekends and evenings as needed;
Ability to lift, carry, and set up event materials if necessary.
