The Facility and Game Day Operations Coordinator is a critical role in the Saint John’s University athletic department. This role manages scheduling, staff, rental agreements and oversees all the Saint John’s University athletic venues and facilities. Additionally, this role reports to the Director of Sports Marketing, assisting in the development and the execution of the Sports Marketing program.

Responsibilities
Athletic Facilities Management
Oversee all Saint John’s University (SJU) athletic facilities, ensuring effective scheduling, staffing, and safety oversight.
Facilities include: the Palestra, Sexton Arena, the Spectrum, the wrestling room, beach, climbing wall, Clemens Field and Stadium, Haws Field, Becker Park, indoor and outdoor track and field areas, outdoor sand volleyball pits, Gagliardi Field, Skalicky Dome, and any future expansions.
Foster a positive and inclusive co-curricular experience for student-athletes that reflects positively on SJU.
Hire, manage, and develop student events staff and summer lifeguards for the pool and beach.
Recruit qualified interns to assist in scheduling, rental, and supervision of student staff and facilities.
Create constructive and beneficial training sessions for staff and athletes.
Provide support and mentorship to student-athletes and employees.
Annually evaluate student employees and the overall program through a formal process.
Oversee all on-campus home game-day venues, including setup and takedown of bleachers, fencing, P.A. systems, scoreboard systems, etc.
Coordinate and supervise concession sales for baseball, basketball, wrestling and special events.
Coordinate with the Physical Plant to oversee set up and take down of the seasonal Skalicky Dome
Work with Sports Marketing Director to implement in-game promotions.
Monitor the condition of the facilities and communicate regularly with custodial maintenance, physical plant and life safety departments on repairs, maintenance or other issues.
Manage event scheduling in accordance with facilities agreements, prioritizing as follows: SJU varsity sports, CSB varsity sports tied to facilities agreements, intramurals and club sports, and outside groups including CSB sports not tied to the facilities agreements.
Develop and ensure timely delivery of communications to campus communities.
Rent athletic facilities, manage open times, schedule and staff rentals, obtain required contracts and documentation, and invoice rentals per SJU Business Office protocols.
Schedule biweekly meetings with the Athletic Director, preparing agendas to discuss updates, challenges, and opportunities.
Commit to understanding and adhering to institution, MIAC, and NCAA DIII rules and regulations.
Sports Marketing Assistant:
Assist in developing a clear and consistent brand identity for SJU athletic marketing, aligning it with the University's overall brand image.
Aid the Director of Sports Marketing in managing an athletic marketing corporate sponsorship plan, which includes sponsorship opportunities, levels and benefits, financial projections and timelines, identifying potential sponsors, and developing recognition and stewardship strategies.
Responsible for cultivating and soliciting sponsorships from alumni, friends, businesses, corporations, and non-profits, as well as stewarding those sponsors. The sales of these sponsorships will generate revenue for the Johnnie Athletic Department and provide budget relief for our expanding intercollegiate athletic programs.
Assist in the preparation and execution of an annual athletic marketing plan.
Collaborate with the Director of Sports Marketing to attend annual meetings with advisory committees (such as the Athletic Department, J-Club, and Sports Marketing Advisory Committee) and communicate fundraising results to relevant stakeholders.
Lead Name, Image, and Likeness (NIL) initiatives under the direction of the Athletic Director.
Assist with all game-day publications to ensure successful content collection, budget oversight, deadline management, and printing.
Support the implementation of athletic marketing efforts at regular-season home football, basketball, baseball, and hockey games.
Qualifications
Baccalaureate degree, or equivalent education and experience.
1- 2 years of experience in athletics, administration, and event management is preferred.
An understanding of basic accounting principles and budget experience is preferred.
Capable of performing basic repairs, such as changing basketball nets, repairing rims, and maintaining field-grooming machinery.
Ability to supervise and lead student crews effectively.
Deep appreciation for the character and success of the Saint John’s University Athletic Department and its programs.
Comprehensive knowledge of NCAA Division III athletics and the role of athletics in the educational process at SJU.
Ability to act as a liaison between current and prospective sponsors and the SJU Athletic Department.
Ability to interact professionally and personally with all constituent groups: students, department members, the monastic community, faculty, administration, parents, alumni, media, peers from other colleges and universities, MIAC and NCAA officials.
Proficient in computer usage and applications.
Strong verbal and written communication skills, complemented by excellent interpersonal skills to build positive working relationships with internal and external clientele.
Demonstrated organizational and leadership skills.
Self-motivated, results-oriented, and capable of working with minimal supervision while taking initiative to complete work assignments within required timelines.
A valid driver's license is required (a driver's license check will be conducted). Ability to drive a college vehicle, including completion of a defensive driving program.
Willingness to work nights and weekends as needed.
Physical Requirements:
Position will involve mobility within campus facilities and various sites including outdoor competition locations.
Ability to lift and carry 50 lbs.
Travel Requirements:
Some overnight travel for conventions, meets and tournaments.
