Duties and Responsibilities (* denotes essential functions):
Serves as the Business Office Manager for providing fiscal support services to all sports and support programs of the Athletic Department.
*Reviews and approves requisitions and disbursement vouchers for the department.
*Reviews and approves all purchase orders and purchase order amendments.
*Reviews and approves advance deposits and Credit Card Receipts (CCR) deposits for credit card payments done by Ticket Office and the Business Office.
Reviews, approves and executes Inter Departmental Orders (Inter Department Order) for purchases between UH departments.
*Reviews and approves invoices generated by the Business Office.
Monitors Statutory Billings (SB).
Reviews and approves dishonored checks.
*Reviews, approves and executes facility rentals agreements, sports game contracts, hotel contracts and ground transportation contracts, and other contracts.
*Reviews and approves facility rental expenses reconciliation, requests for overtime forms, ticket use agreements, ticket office outside user reconciliations.
Reviews and approves UH Foundation (UHF) deposits and UHF payments, ‘Ahahui Koa Anuenue (AKA) deposits and AKA payments.
*Reviews and approves AIM transactions, Student Employment transactions, Etravel request and completions for all travelers.
*Monitors and administers all trade, including air, hotel, restaurants, medical, etc.
Downloads and sends payroll reports to HR monthly via filedrop so that they can monitor the accuracy of payroll.
*Acts as the primary procurement officer for the department as authorized.
Procures contracts and purchases for the department.
Serves as department liaison with the Office of Procurement for all procurement transactions (e.g. Onbase requests, Request for Proposals (RFP), communications, etc.).
Oversees, adds users and instructs on procurement using the Superquote system for the department.
*Reviews and approves sport camp requests for accuracy of the budget based on attendance, fees and expenses and anticipated payroll for the department, refunds for camps/clinics, and final camp reports.
Works with Ticket Office on credit card disputes and manages change funds for the Tickets Offices at the Stan Sheriff Center and Les Murakami Stadium.
Responsible for the maintenance and review of equipment and supplies inventory of the Athletics Department program.
Responsible for the financial impacts of the H Zone agreement with the UH Bookstore for the department.
Works with administration to monitor and properly account for apparel partner (Adidas) purchases and budgets.
Responsible for the financial accounting of the Learfield/IMG, television, radio, licensing, Fanatics and other contracts for the department
*Reviews and approves all P card purchases, telephone and cellphone transactions, and transportation services and rental transactions for the department.
Works with Human Resources (HR) for taxability of tickets and extra benefits.
*Responds to all budget, purchasing, procurement, etc. questions from coaches and departmental staff.
Maintains confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
Maintains collaborative working relationships with administrators and coaches in the department, other college offices, and appropriate relationships with members of the media, donors, and other individuals interested in the Athletics Department.
Knows, recognizes, and complies with the laws, policies, rules, and regulations governing the University of Hawaii and its employees, and the rules of the NCAA and affiliated conferences as now constituted or as may be amended in the future. Immediately advises the Director of Athletics or designee if there are reasonable cause to believe violations, whether by employees or students, have occurred or will occur.
Other duties as assigned Minimum Qualifications
Possession of a baccalaureate degree in business, accounting or related field and five (5) year(s) of progressively responsible professional experience with responsibilities for business operations; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Considerable working knowledge of principles, practices and techniques in the area of business operations as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with business operations.
Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
Demonstrated ability to operate a personal computer, apply word processing and spreadsheet software.
If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.
Ability to meet critical deadlines and be flexible to on-going changes due to nature of athletics.
Demonstrated ability to maintain confidentiality to include but not limited to information, files and records that the incumbent may obtain or possess, in accordance with federal and state laws and University of Hawaii policies.
Ability to apply a high attention to detail and accuracy while working in online systems.
Demonstrated competence organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, professional attitude while working within a team environment.
Demonstrated ability to work with a diverse group of people in a fast paced environment with minimal direction.
Demonstrated ability to compute and post figures rapidly and accurately, use a 10-key adding machine by touch and identify and correct errors.
Demonstrated ability to review financial documents for accuracy, validity, and adherence to policies in a timely manner. Desirable Qualifications
Knowledge of University of Hawai‘i policies and procedures.
Knowledge of University of Hawaii organizations, applicable policies and procedures, and relevant practices.
Experience with electronic financial systems such as Kuali Financial System, ePurchasing, eTravel, UHF Concur, OPM Onbase,Pcard Concur, etc.
Knowledge of NCAA rules and regulations relating to Business Office financial transactions.
Genuine interest in intercollegiate athletics.
