| Job Description Summary |
BASIC FUNCTION:
Under the general supervision of the Associate Athletic Director, Business & Personnel (“Associate Athletic Director”), responsible for the daily management of the fiscal activities of the NCAA Division I Athletic Department including budget planning and execution. Assure all fiscal activities are conducted in compliance with Federal, State, Conference, Institutional and NCAA laws and regulations. Maintain and ensure fiscal integrity of the Division’s $30+ million operating budget. Assist in the creation, implementation, and management of comprehensive business operations systems and processes that maintain and support a sound fiscal environment for the Division’s 19 Division I intercollegiate sports programs and 11 administrative/support offices. Prepare necessary financial reports required throughout the given fiscal year to be used as a tool for budget management, budget preparation, and financial reporting to maintain proper budget compliance for all areas within Athletics. Serve as a liaison with other University departments as needed to coordinate the Division’s needs.

| Duties and Responsibilities |
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assist Associate Athletic Director in the preparation and allocation of the annual budgets that includes state, conference, foundation, and booster for 19 athletic teams and 11 administrative/support offices.
Assist Associate Athletic Director in the daily management of the Athletic Business Office including monitoring the Division’s operating revenue and expenses to budgets that include the 19 Division I teams and 11 administrative/support offices.
Assist Associate Athletic Director in the daily management of the Athletic Equipment Room including the purchasing, invoicing and inventory of all athletics equipment and athletics apparel.
Responsible to monitor and perform an annual inventory for all athletics office equipment including computers, printers, projectors/TV, phones, conference phones and furniture.
Assist Associate Athletic Director in the personnel management of the Athletics Equipment Room to assure adequate coverage for team needs. This includes monitoring time off and overtime.
Ensure the timely completion of processing and payment of purchase orders and invoices in a timely and accurate manner in accordance with university policies and procedures. Train coaches on proper purchasing policies and procedures to assure compliance.
Consistently analyze financial data and compare budgeted to actual results with a view to identify, explain, and correct variances as appropriate.
Work directly with various internal and external constituencies such as coaches, staff, purchasing, dining, housing, financial planning and analysis, the NCAA, 3rd party financial auditors etc. to ensure proper execution of the Division’s fiscal goals and expectations.
Reconcile and create monthly financial reports (state, booster, and foundation) in an accurate and timely manner and clearly communicate monthly financial analysis to all head coaches and department leaders This includes keeping the Associate Athletic Director abreast of discrepancies, changes, or concerns.
Execute daily, month-end, and year-end accounting tasks for athletic accounts which includes posting journal entries and budget transfers.
Advise senior staff and head coaches about on-going finance, budget, and business issues, and assist the Associate Athletic Director on the development of financial forecasting models for planning purposes.
Provide assistance to the Associate Athletic Director for the annual financial audit, the preparation of the EADA, and NCAA Agreed Upon Procedures. Analyze and reconcile data as needed.
Keep abreast of current trends and developments in the Division I Athletics field through publications, seminars, and conferences.
Review the Ryan Center Ticket Office settlements promptly for reasonableness.
Assist the Associate Athletic Director in various bid processes; consistent monitoring of purchase orders, contracts, blanket orders and notify appropriate staff when a new bid process is required to be started.
Supervise and assign workload and delegate projects to athletics administrative staff, students, and interns.
Support and back up the Athletic Travel Manager when needed.
OTHER DUTIES AND RESPONSIBILITIES:
Facilitate the internal payroll process for student and temporary staff.
Perform other duties as assigned.
LICENSES, TOOLS AND EQUIPMENT:
Personal computers; printers; Microsoft Office and database management software.

| Required Qualifications |
REQUIRED:
Bachelor’s degree.
Minimum of three years of progressively responsible experience in budget and finance.
Demonstrated experience with database and spreadsheet creation and management (specifically, analytical tools in Excel to perform complex data analysis).
Demonstrated experience working with department leaders providing budget to actual data on a monthly basis and forecasting budget shortfalls or concerns promptly.
Demonstrated organizational and critical thinking skills.
Demonstrated strong verbal and interpersonal communication skills.
Demonstrated proficiency in written communication skills.
Demonstrated ability to anticipate and handle impromptu concerns and shifting priorities in a deadline-driven environment.
Demonstrated ability to establish and maintain effective working relations with various constituencies.
Demonstrated ability to work independently and as part of a team.
Demonstrated supervisory experience.
Demonstrated ability to work with diverse groups/populations.

| Preferred Qualifications |
PREFERRED:
Bachelor’s or Master’s degree in business, finance, accounting, or related field.
Demonstrated finance experience in Collegiate Athletics.
Demonstrated familiarity with NCAA compliance software and team management applications.
Demonstrated experience creating policies, procedures, and business operations systems.
Demonstrated familiarity with Peoplesoft Financials production and reporting.
