This position reports to the Athletic Director
The Part-Time Administrative Assistant provides essential support to the Athletic Director in managing the day-to-day operations of the college's NJCAA/GCAA athletic programs. This role involves administrative, clerical, and communication duties that ensure the smooth functioning of the athletic department.
This position is designated by the institution as Campus Security Authority (CSA).
Administrative Support and Clerical Duties -
Perform a variety of administrative and clerical duties, to include data gathering, data management, correspondence, filing, calendar management, event scheduling, mail distribution, answering phones, organizing mail, and purchasing supplies.
Collegiate Athletics -
Adhere to all NJCAA/GCAA rules and regulations governing collegiate athletics.
Advise Faculty, Staff, and Students -
Advise faculty, staff, and students of policies or procedures.
Point of Contact -
Acts as a point of contact to other departments, students, faculty, customers, and outside agencies/vendors on behalf of department or unit administrators.
Preparation of reports and documents and coordination of events -
Perform administrative duties such as preparation of reports, documents, or coordination of projects or events as assigned.
Other Duties -
Perform other duties as assigned by supervisor.
Maintain Schedules -
Maintains pool and gym schedule, lifeguard schedule, and coordinates the same with Facility Management.
Insurance Records -
Maintains accident & insurance records on athletes and submits claim forms to insurance company.
Budget -
Submit travel plans and budget requests for all recruitment and athletic competition activities to the Director of Athletics
Assists in overseeing team budgets.
Educational Requirements
High School Diploma
Required Experience
One year work experience in related field.
This is a part-time, non-benefited position. Compensation will be determined based on relevant experience and qualifications

Ability to maintain and keep records and to organize data in preparation of records and reports.
