This position is an entry level, unclassified position in the Accounts Payable & Travel division of Accounting Services. This position is responsible for the audit of travel and special meal expense reports, which includes travel expenses paid with personal funds, LaCarte procurement card, CBA, and supplier invoices, for the LSU BR campus, including Athletics, and LSU at Alexandria, LSU at Eunice and the Pennington Biomedical Research Center. This position initiates ad hoc bank transactions to record deposits, when applicable, to reimburse the University. This position level demonstrates proficiency of the University Travel Program.
75% Responsible for the audit of travel and special meal expense reports for travel expenses paid with personal funds, LaCarte card, and Centrally Billed Accounts (CBAs) for LSU Baton Rouge, including the Athletics department, LSU at Alexandria, LSU at Eunice and the Pennington Biomedical Research Center institutions.The audit requires the assurance of compliance in accordance with all Federal and State laws, as well asPM-13, University Travel regulations. Responsible for the compliance audit of miscellaneous check requests and/or supplier invoices in which itemized travel expenses are included.
10% Communicates with departmental Travel Coordinators, Travel Managers, Cost Center Managers, and employee/travelers regarding incomplete supporting cost documentation, status of travel expense reports and supplier invoices. Provides guidance to departmental contacts and/or employees/travelers regarding Federal,State and University Travel Rules and Regulations. Communicates with other institutions and provide guidancewith travel audit questions.
10% Responsible for initiating ad hoc bank transactions to record deposits to reimburse the University and clear employee receivables. Provides support to the employees/travelers related to the state-contracted travel agency's on-line booking system for pulling traveler's itineraries, when applicable, to expedite travelreimbursements.
5% Provides administrative support for interoffice routing for appropriate review and approvals. Maintains year-end processing of travel expense reports to meet critical deadlines to ensure travel and special meal expenses are recorded in the appropriate accounting period. Assists with the special projects as needed.
Minimum Qualifications: Bachelor's degree in Accounting or closely related field with 24 hours of accounting. 2 years of directly applicable professional experience can be substituted for 24 hours of accounting.
Physical Qualifications: This position requires the physical ability and eye-hand coordination necessary to use a computer terminal, calculator, copier, telephone, and other office equipment. This position requires the ability to sit in the same position for extended periods at a time (3.5-4 hours) using continuous hand motions when using a calculator or entering data into the computer system. Overtime may be required during year-end and/or at periods of high volume.
