JOB SUMMARY: Administrative secretary to provide secretarial support to the SVSU Athletic Department. SVSU is a DII member of the Great Lakes Intercollegiate Athletic Conference.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Abides by NCAA Bylaws 10.1 and 11.1 regarding ethical conduct and the responsibility to positively contribute to a campus culture of NCAA rules compliance.
Maintain calendar and schedule for the Director of Athletics.
Monitor inventory and order office supplies as needed.
Greet and route visitors to the various offices, provide information as requested by phone, email and in person.
Make arrangements and collect RSVPs for meetings, special events, and conferences, including arranging travel.
Prepare staff meeting agendas, notes, correspondence, forms, reports, appointments, and other materials for staff upon request.
Maintain various departmental financial records. Prepare check and purchase requisitions upon request.
Prepare invoices and bank deposits for various accounts, including petty cash, event tickets, sponsorships etc.

Issue, process and maintain records and payments of all athletic contests, including officials, game contracts and personnel.
Assist with the condition of ticketing for all sports, including maintenance of will call lists.
Initiate job postings with HR and assist with on-boarding of athletic new-hires.
Initiate athletic supplemental pay and HR action forms in addition to general and tax paperwork upon request.
Process athletic injury claims, including coordination with care providers and insurance companies, and systematic recording of same.
Prepare Athletic staff meeting agenda and minutes.
Make arrangements for meetings, events, and conferences, including travel and annual awards banquets.
Perform routine clerical duties as required or requested.
Other duties as assigned.
SUPERVISION RECEIVED:
Supervision is received from the Director of Athletics.
SUPERVISION EXERCISED:
Assist with the coordination of work for student employees including training and evaluation.
MINIMUM QUALIFICATIONS:
High School Diploma or equivalent with additional education, training, or certification in a related field.
Bookkeeping experience and accurate math skills.
Three years of job-related clerical experience, preferably in higher education, including excellent spelling, grammar, punctuation, and oral and written communication skills.
Demonstrated customer service skills and interpersonal skills to interface with faculty, staff, students and the general public.
Personal computer proficiency (Microsoft Office Suite) and ability to learn specialized software programs, including web development.
Willingness and ability to work all home football games which occur outside of normal business hours.
Ability to work cooperatively and communicate professionally with faculty, staff, students, and the general public.
Experience and ability to positively interact with diverse employees, student populations and groups.
Ability to work independently with minimal supervision and accept direction for multiple and diverse staff members.
Ability to organize, prioritize and expedite workload, working under occasional time pressure.
Ability to occasionally handle differing, non-routine work situations and problems by exercising independent judgement and initiative.
Ability to maintain confidentiality of files and records.
Ability to learn technical/discipline specific terminology
Ability to perform the essential duties of the position with or without accommodation.
WORKING CONDITIONS:
Duties are generally performed inside and not exposed to adverse conditions. Work will be necessary outside of normal business hours to support home football games and occasional special events.
