Washington Athletics seeks a candidate to fill the role of Assistant Director of Athletic Accounting and Reporting. This position will report to the Director of Athletic Accounting and will assist with the day-to-day accounting and financial reporting functions in the Intercollegiate Athletic department (ICA).
DUTIES AND RESPONSIBILITIES
Review and approve monthly and annual accounting entries. Record and reconcile all balance sheet accounts, including accounts payable, accounts receivable, deferred income, and fund transfers. Ensure data integrity for ICA.
Work with the ICA Compliance Office to prepare, monitor, and reconcile annual scholarship and financial aid related expenses as well as SAOF transactions. Monitor endowment usage and spending, as needed.
Review open encumbrances to ensure accurate reporting. Submit interdepartmental budget charges and journal vouchers.
Review monthly reconciliations and postings of Ticket Office tickets and revenue. Reconcile ticket sales reports from the Ticket Office and other reports provided by the University. Perform variance analysis as needed.
Engage in the completion of the annual Equity in Athletics Disclosure Act (EADA) Survey which is posted on the Department of Education’s website, and the completion of the NCAA Revenue and Expense report. This includes understanding the complexities and Agreed Upon Procedures for the external reporting requirements, analyzing internal financial accounts and assigning them into the applicable reporting categories. Investigate and resolve any discrepancies and ensure the final reports accurately tie and reflect the Department’s audited financial statements. Continually analyze internal processes to evaluate, recommend, and implement process improvements.
Analyze and develop various financial reports for the Chief Financial Officer, executive team members, administrators, head coaches, and other staff members as needed. Develop and present financial recommendations based on analysis. Identify and recommend methods of improving accounting
procedures and services. Participate in development of accounting policies, ensuring continuity with institutional policy, state law, Generally Accepted Accounting Principles, and NCAA rules.
Assist in the development of the annual financial budget. Produce and update reports for executive team members. Develop recommendations. Maintain the budget database and update budget details.
Provide assistance to all financial-related audit issues. Produce worksheets and reports for financial year-end audit. Research questions and provide documentation for financial auditors as needed. Provide documentation and answer questions regarding public records requests and/or various surveys. Assist in other audits involving the University, State of Washington, and City of Seattle.
Direct and manage the process and processing required for Athletic Department accounts receivable transactions. Analyze inter-department needs and design strategies to ensure appropriate and timely processing on all accounts. Determine process and direct staff to: prepare invoices for payments in accordance with university policies and procedures; track and process accounts receivable payments that are owed to the Athletic Department; verify that payments are in alignment with university agreements; coordinate with customers, when necessary, to ensure accurate and timely receipt of funds and to avoid delinquent accounts. Continually monitor and reconcile accounts receivable records to ensure compliance with all internal and external policies and directives. Monitor the University’s daily Unclaimed Cash Report to identify revenue belonging to ICA.
Oversee ICA taxable fringe benefit categories on behalf of the department, working with Human Resources and Payroll to accurately report ICA specific benefits received by coaches and staff.
Oversee and manage ICA’s inventory and asset tagging program to ensure compliance with University rules and regulations. Ensure assets are properly tagged and input into the Workday enterprise system to ensure accurate equipment condition and depreciation reporting.
Represent ICA on campus-wide committees and/or working groups, as necessary.
Potential to supervise student workers and temporary employees, assigning tasks as needed.
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington, and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
MINIMUM REQUIREMENTS
Bachelor’s Degree in Accounting, Finance, Business Administration, Sport Management or a related field.
Three years of experience in accounting, processing journal entries, financial reports, and data analysis.
ADDITIONAL REQUIREMENTS
Experience using financial databases and accounting software.
Knowledge of GAAP accounting rules and standards.
DESIRED QUALIFICATIONS
Knowledge of UW policies, regulations, and institutional/state accounting and/or budget procedures.
Experience working in a university, athletic department, or professional sports organization. Experience with Workday Finance or similar system.
