DUTIES AND RESPONSIBILITIES
The Executive Assistant will serve as the primary point of contact for the Director of Athletics (AD) and the Deputy Athletic Director/Chief Operating Officer (COO). Provide professional and executive administrative support for the AD and COO including but not limited to, using discretion, professionalism, and policy creation or interpretation in addressing calls, inquiries, and written correspondence on behalf of the office of the AD, the COO, and the department.
Manage the schedule for the AD and COO; organize activities, meetings, and supportive background materials. Coordinate all travel; arrange for all contacts and meetings for the AD and COO and any other parties (as needed) at the travel destination, provide detailed itineraries, and ensure that travel objectives are accurate and planned; complete or oversee processing of travel reimbursements.
Work closely with key University leadership and offices including but not limited to: Marketing, Communication, Advancement, Office of the President, and Board of Regents support staff. Work closely with Athletic Communications, Advancement, and other department units to prepare appropriate materials for media briefings, special events, donor visits, student-athlete visits, statements, or announcements.
Oversee budget for the office of AD including department relations, donor hospitality, day of game activities, entertainment, and external administrative travel. Participate in financial planning, budget forecasting, and resource allocation for annual budget. Perform budget analysis, approving, tracking, and reconciling all expenditures and budgets for the office of the Director of Athletics. Oversee purchasing within established policies, procedures and budgetary allowances.
Provide overall support in the advancement of the strategic planning and operations for the offices of the AD and COO, including areas such as athletic success, coach retention, revenue generation, external relations and student-athlete welfare. To accomplish this, this position will manage complex research and analysis of industry and market standards, producing documentation that will support strategic decision-making in the above-listed areas.
Serve as first line of interaction with University officials, coaches, student-athletes, Intercollegiate Athletics (ICA) staff, faculty, alumni and donors on behalf of the AD and COO. This position will use independent judgement in determining appropriate actions in response to callers, visitors, donors and special guests to ICA, or in coordinating with other appropriate department personnel. This position will develop and manage policies and procedures to ensure that all operations and functions of the office of the AD and COO run smoothly and successfully, with specific attention to providing timely responses to all constituent questions and requests.
Oversee hourly workers, interns, or volunteer staff, when appropriate.
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington, and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
MINIMUM REQUIREMENTS
Bachelor’s degree and two to three years of demonstrated and progressively responsible experience with executive support and office administration for a major division, particularly in a collegiate athletics environment.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Proficient skills with MS Office. Initiative, problem solving, autonomy and excellent organizational skills are essential.
Must be able to independently and successfully resolve inquiries or complaints in a professional manner. This position will require evenings, weekends and travel as needed for events and activities.
