This position reports to the Senior Associate Athletic Director/Chief Financial Officer (CFO). The Assistant Athletic Director for Business Operations will oversee the day-to-day operations of the Husky Athletics business office including accounting, accounts payables and receivables, financial statements, audits, NCAA and EADA reporting, travel, procurement services, contracts, and analytics. In collaboration with the CFO, this position will be a leader for the overall financial operations of ICA.
DUTIES AND RESPONSIBILITIES:
Management
• The Assistant Athletic Director is responsible for the day-to-day vision and management of the business office and its continual growth as a service to ICA. This position will evaluate and implement process improvements to ensure efficient workflows throughout the business office and in support of the department. Provide leadership and support to the business office staff in meeting goals and priorities.
• Oversee a team of eight full-time staff members with three direct reports in the areas of Accounting, Reporting and Budgeting, Business Operations, and Analytics. Oversee the hiring process for all openings within the business office. Orient new staff to department policies and procedures. Responsible for performance evaluations and salary recommendations, providing staff development opportunities, and disciplinary action and dismissal, if necessary.
Accounting, Reporting, and Budgeting
• The Assistant Athletic Director will assist the Senior Associate Athletic Director/CFO with the annual budgeting process for ICA. This position will have significant input in the resource allocation of ICA’s budget, which exceeds $145M.
• Provide financial strategy and guidance to the business office staff for day-to-day decision making for accounting, monthly reconciliations, and creation of financial statements. Serve as the primary point person and oversee the creation and submission of annual reports for the financial audit, the University of Washington, NCAA, Department of Education, and Pac-12/Big Ten. Respond to questions and inquiries.
Business Operations
• The Assistant Athletic Director will serve as the primary business operations contact for Football. This position will be responsible for, and the final approver of, expenditures up to $10,000. The Assistant Athletic Director will also serve as the operational and financial liaison with Shorts Travel.
• Evaluate strategies and implement continual process improvements for Athletics business operations, which includes accounts payable, accounts receivable, and travel operations. Ensure timely and efficient support to Husky Athletics sports teams and administrative personnel.
Analytics and Forecasting
• The Assistant Athletic Director will lead the business analytics related strategy for ICA for both revenues and expenditures. This includes oversight of the implementation and continual improvements of data visualization through Tableau, or other resources, to better assist with decision making throughout the department.
• Assist the Senior Associate Athletic Director/CFO with long-range financial planning for ICA. In the absence of the CFO, this position has the authority to make financial decisions, as required.
Contract Management
Serve as the lead contact for ICA regarding all operational contracts. Work with internal and external constituents to ensure contracts are executed and managed in accordance with University of Washington, and state regulations. Consult with Procurement Services Contracting and Sourcing team, the Office of the Attorney General, Risk Services, the Tax Office, and other resources, as appropriate. Provide recommendations on contract related items to the Senior Associate Athletics Director/CFO.
Procurement Services and Vendor Management
Oversee all procurement related items on behalf of ICA and serve as the primary contact with Procurement Services Contracting and Sourcing. Lead all RFP processes for ICA to ensure fiscal responsibility and adherence to university and state regulations. Assist requestors in identifying the appropriate purchasing method for goods and services and guide them through the purchasing process. Submit contracts and other procurement documents for review and approval as defined by university and state regulations. Develop an interactive relationship and communicate with key suppliers as necessary.
Budget Review and Business Operation Meetings
Facilitate quarterly financial operations meetings with each sports team and administrative unit. These meetings will consist of business-related updates on purchasing, travel, contracts, procurement, and other related items, and will include a thorough budget review and update for each unit. The Assistant Athletic Director will serve as a resource to coaches, department heads, and senior staff, advising and educating them on budget and financial issues, and will engage with internal and external constituents to maintain fiscal responsibility throughout ICA.
Other Duties as Assigned
Compliance with the rules and regulations of the University, the NCAA, the Conference, the State of Washington, and any other governing body is of paramount importance to the University. The overall responsibility of this position is for the successful operation of the program in full compliance with all such rules and regulations. As a condition of employment, the Employee shall be required to participate in rules education programs offered by the Department of Intercollegiate Athletics.
MINIMUM QUALIFICATIONS:
• Bachelor’s degree in business, finance, accounting, sport management or a related area. Five years of related experience in NCAA Division I athletics business office, or an equivalent combination of education and related experience. Prior experience with contracts and procurement services related items.
• Management/supervisory experience. Strong interpersonal skills and the ability to work collaboratively. Professionalism, composure, and an ability to communicate clearly, diplomatically, and effectively.
DESIRED QUALIFICATIONS:
Prior experience working within a “Power 5” business office with preference toward the SEC or Big Ten. Master’s degree in business, finance, accounting, sport management or a related area.
