The Executive Associate performs a variety of complex and confidential administrative support for the Vice President and Director of Athletics. This position also supervises and manages the central office.
This position requires the ability work a flexible schedule, including nights, weekends, holidays, and travel as needed.

Oversight for a broad array of administrative and operational functions directly related to the office of the Vice President and Director of Athletics. This includes calendar oversight, scheduling and coordinating meetings, appointments, and events. Ensure all logistical aspects are addressed before all events.
Provide essential support to the Intercollegiate Athletics Department with direct support to the Athletics Director and Senior Leadership.
Facilitate clear and efficient communication between Director and internal/external stakeholders.
Coordinates with donors, head coaches, assistant coaches, staff,community, University leadership, Big-12 conference office as well as Athletics Directors nationwide on a variety of topics and issues.
Draft, review, and distribute correspondence, reports, and presentations on behalf of the Director.
Manage documentation systems, including preparing reports, agendas, data analysis, and minutes.
Evaluates, analyzes, and recommends operational and process improvements and solutions.
Utilizing mature judgment, makes informed decisions, high concern for detail, confidentiality and timeliness; appropriate discretion to deal with complex, private and sensitive issues. Ensure communications and documentation is managed in accordance with university policies and regulations.
Receives and screens communications (emails/ phone calls) not requiring the immediate personal attention of the Vice President and Director of Athletics, using independent judgment to determine order of priorities.
Adhere to professionalism and confidentiality in all communications between internal and external stakeholders.
Investigates and responds to management/public requests concerning problematic situations and discrepancies, including those forwarded for a response.
Manages office functions to ensure smooth office operations, oversee staff, manage performance evaluations, hire staff, make necessary recommendations for termination, recommends salary changes including merit recommendations and promotions.
Manage travel arrangements and processing accounts payable and receivable items before and after.
Additional duties as assigned.

Notice of Availability of the Annual Security and Fire Safety Report
In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (Clery Act), each year the University of Arizona releases an Annual Security Report (ASR) for each of the University’s campuses. These reports disclose information including Clery crime statistics for the previous three calendar years and policies, procedures, and programs the University uses to keep students and employees safe, including how to report crimes or other emergencies and resources for crime victims. As a campus with residential housing facilities, the Main Campus ASR also includes a combined Annual Fire Safety report with information on fire statistics and fire safety systems, policies, and procedures.
